The MBA and MSx Programs at the Stanford Graduate School of Business seek an experienced event manager who excels at and enjoys all aspects of event logistics and handling detail-oriented work with a positive attitude and professional grace. The central purpose of this role is to plan and execute a variety of events for full-time graduate students to enhance their learning, prepare them for successful engagement in their academic programs, and build a shared sense of community. Events include: 1) large and complex events, e.g., a study trip to the East Coast for 100 students, mandatory sessions for 400+ students, etc., 2) conference-style events, e.g., trainings for 100+ students with multiple concurrent sessions and breakouts, and 3) smaller events with students, staff, and the deans of the school. Additionally, the event manager will collaborate with and support colleagues with other events. The event manager may take on various roles to support special projects as needed.

The ideal candidate will have a track record of success in large-scale university event operations, hotel event management, social planning, or similar experience. The candidate should be adept at collaborating with colleagues and acting as a shared resource across the team. Flexibility, time management and organizational expertise, attention to details, logistical precision, and proactive follow-through are key skills. The candidate should also be available on-site for the events, occasionally in the evenings or weekends, and for travel to support events when necessary. This position works closely with staff across the MBA and MSx Programs and has a direct and significant impact on the student experience. The event manager reports to the Director of Digital Communication and Operations.

JOB PURPOSE:

Plan and execute events, such as seminars, conferences, sports or alumni events, and other university related events. Plan and manage logistics, including registration and attendee tracking, presentation and materials support, and pre- and post-event evaluations. Procure and coordinate vendor services (e.g., catering, equipment, Stanford labor services). Provide on-site event support. May research and provide recommendations for potential event locations and evaluate alternatives.

Your primary responsibilities include:

  • Initiate and lead meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and/or review administrative procedures and event progress.
  • Serve as project leader on specific events, coordinating teams that plan, implement, and manage all aspects of events such as: marketing, vendors, fan experience, ticket office, concessions, press and/or media.
  • Responsible for budget planning and management, venue management and equipment and facilities management for specific events.
  • Oversee development of registration strategy and logistics.
  • Build and maintain relationships with internal and external partners.
  • Procure and coordinate vendor and travel provider services. Negotiate vendor contracts to minimize liability and risks.
  • Research and provide recommendations for potential event locations, and evaluate alternatives.
  • Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues.
  • May inspect event facilities for maintenance, janitorial and fire safety issues, ensuring enforcement of Environmental Health and Safety and other facility regulations. Arrange for correction if issues are found.
  • Communicate with visiting entities such as vendors.
  • Other duties may also be assigned

To be successful in this position, you will bring:

  • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
  • Demonstrated success managing event teams and planning, developing budgets, and meeting budget goals.
  • Excellent project management skills, and the ability to manage complex timelines and multiple projects.
  • Ability to work both independently and as part of a team.
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
  • Exceptional customer service skills with the ability to cultivate partnerships.
  • Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.
  • Knowledge of Microsoft Office suite and cloud applications like Google Suite (including Docs and Forms).
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

Certifications and Licenses:

Valid Non-Commercial Class California Driver’s License.
