ADMINISTRATIVE ASSISTANT II, Mechanical Engineering, to provide comprehensive support for two professors and one senior lecturer. Will respond to inquiries; monitor and order supplies and equipment; process journal vouchers, requisitions, purchase orders, and requests for payment; monitor and reconcile accounting statements; investigate and follow up on purchasing/accounting discrepancies; coordinate events such as luncheons and recreational activities for the labs and class trips; assist with orienting new students, staff, and visitors; input and maintain web content; schedule appointments, meetings, and travel arrangements; process travel reimbursements; assist faculty and teaching assistants with the preparation and organization of materials for courses; assist in creating a welcoming and well-organized office environment; create filing systems and monitor for efficiency; and perform other administrative, financial, and clerical duties as necessary to support faculty activities.
Job Requirements
REQUIRED: a high school diploma or its equivalent; a minimum of three years’ office or related experience; excellent interpersonal and communication skills and the ability to work effectively with people at all levels; excellent organizational and word processing skills, including ability to handle multiple tasks simultaneously; ability to work independently as well as part of a team; ability to prioritize and problem solve; experience with arranging travel, paying invoices, ordering supplies, account reconciliations, and expense reimbursements; proficiency with Microsoft Office; and willingness to learn new software. Bachelor’s Degree preferred.
