The Sr. Sponsored Projects Specialist supports JHURA by taking the lead on daily questions, workload assignments, and training of the Sponsored Projects Specialists. The Sr. Sponsored Projects Specialist facilitates the process of proposal submission, including review of proposal budgets and administrative data for compliance; reviews and interprets sponsor requirements; reviews, processes and performs award management for assigned departments; processes award documentation for account set up for the Johns Hopkins University Research Administration (JHURA) office. JHURA has responsibility for research administration for the Bloomberg School of Public Health, Whiting School of Engineering, School of Nursing, School of Education, Carey Business School, the Academic and Cultural Centers, the School of Advanced International Studies, the Peabody Conservatory, the Bioethics Institute, Jhpiego, and for grant activities of the Applied Physics Laboratory.

Primary Duties and Responsibilities:

  • Provide advice and counsel to faculty and staff during proposal preparation stage.
  • Review proposals for completeness and compliance
  • Review and process incoming awards.
  • Manage work flow process for assigned awards in the JAWS database.
  • Review, interpret sponsor requirements, regulations, and institutional policy intersections for proposals and post award.
  • Evaluate and coordinate processing of responses to faculty and sponsors regarding proposals and awards.
  • Ensure policies are met, correct cost rates are applied, appropriate forms are completed and returned to department or submitted electronically through grants.gov, FastLane, or other electronic means.
  • Read and interpret grant and contract program announcements.
  • Apply knowledge of federal regulations and policies on research compliance (human subjects, animal, etc.).
  • Understand relevant issues and processes regarding conflict of interest and compliance that impact proposal submission, contract signoff, and problem resolution.
  • Verify that all required steps have occurred, assembled for review, and are complete.
  • Ensure Coeus data integrity.
  • Prepare agency letters (JIT, IRB training certifications, etc.)
  • Serve as lead administrative user of the various electronic systems used for research administration (e.g. Coeus, Oculus, SAP, eCommons).
  • Recommend and enhance procedures, and administratively coordinate implementation of new or modified systems.
  • Assist with conversion of paper processes into a comprehensive electronic records system. Recommend and enhance administrative procedures.
  • Other duties as assigned.

Posted Qualifications:

  • Bachelor's degree in related discipline.
  • Three years related administrative experience required, preferred that one year of which is in a sponsored research environment.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Special Knowledge, Skills, and Abilities:

  • Demonstrated experience with budget/pre-award process.
  • Must be detail-oriented, well-organized, and able to handle multiple projects in a deadline driven environment.
  • Expert knowledge of Excel requirement.
  • Must demonstrate excellent verbal and written communication skills.
  • Experience with Coeus and SAP software a plus.

Additional Applicable Information:

 Successful completion of the RAT program (18-24 months) is equivalent to three years of relevant experience for this position. If an employee does not successfully complete the program, no additional experience will be applied.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
