Stewardship Coordinator Duke University Development Office of Donor Relations

Occupational Summary

The Stewardship Coordinator assists in the planning, development, coordination, and execution of stewardship activities for donors to Duke University. These activities focus on philanthropic impact, engagement, and recognition and involve University leadership, as well as faculty, administrators, staff, and students, in stewarding and in interacting with donors. This position primarily implements the gift acknowledgment program for senior university leadership; administers the university-wide leadership giving societies; and manages the president's holiday card project. Position reports to the Director of Donor Relations for Duke University Development.

Work Performed

Acknowledgments: Administer the gift acknowledgment program for senior university leadership. Manage weekly acknowledgment letter process through letter writing, signature collection, data collection, and distribution. Analyze a variety of reports, and other pertinent sources of information, as well as consult with major gift officers across the university, to determine which gifts, pledges, and pledge payments require acknowledgment from university leadership, and to gather pertinent points to include in the acknowledgments. Compose acknowledgment letters for the senior university leadership (University President, Vice Presiden for Alumni Affairs and Development, and Associate Vice President of University Development), taking full responsibility for accuracy, appropriate personalization and style, timeliness, grammar, and syntax. Draft condolence letters for the President. Determine which letters should be recorded as 'moves' in the DADD database, and establish a system for entering them. Create and maintain a system for archiving acknowledgment letters electronically.

Gift clubs: Administer James B. Duke Society (gifts of $100,000+) and Braxton Craven Fellows (gifts of $1 m million+), cumulative lifetime giving societies. These groups are university-wide, including donors from every school and unit. Serve as a liaison between these and other university groups. Coordinate with volunteer leadership chairs on welcoming new members on a regular basis. Collaborate with Special Events and Development Communications colleagues on the planning and execution of recognition events, including the annual donor recognition celebration and special events for the highest level donors, including follow-up event communications. Explore unique opportunities (arts, athletics, etc.) as they arise to offer to Braxton Craven Fellows.

President's holiday cards: Manage the President's holiday cards. Work with President's Office, Development Communications, and others to create ideas for art and messaging for holiday card annually. Work with senior leadership offices to assure complete and correct mailing lists, compiling and coordinating the various lists. Oversee design, delivery, and printing.

Donor Relations: Serve as a resource for major gift officers, administrators, and donors, regarding questions relating to the James B. Duke Society, Braxton Craven Fellows, gift acknowledgments, and other stewardship program(s). Participate in the preparation of regular and special periodic reports to university officials. Participate in long-range planning for the department. Perform other associated duties as required.

Required Qualifications

Education/Training: Work requires communications, analytical, and organizational skills normally acquired through completion of a bachelor's degree program.

Experience: Work requires ability to design, plan, and coordinate fundraising activities generally acquired through two years of experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Skills required:
