Specific Duties & Responsibilities

  • Work with faculty and administrative staff in the compilation of information related to expenditures and revenue, budget, including grants, contracts and sponsored accounts.
  • Provide routine support to faculty and administrative staff in monitoring and reconciling expenses against budgets for the department.
  • Review and reconcile sponsored funds and non-sponsored funds monthly, verifying: purchases, travel expenses, calculate and/or verify expense, totals and account balances, take corrective action as needed. Reconciling of department default accounts.
  • Transferring telephone charges from termed accounts to new accounts.
  • Checking and approving procurement cards for accuracy and compliance.
  • Prepare documents for scanning and scanning archived data.
  • Departmental ordering, printing and distribution of monthly statements.
  • Gather and/or draft supporting documents for supervisor review and approval as needed: order equipment/supplies, process invoices, travel forms and purchase requests. Follow established processing procedures. Operate computer to enter data into spreadsheet
  • Provide up to date expenditure and balance information.
  • Complete account reconciliation, funding management, subcontract payments, and travel reimbursements.
  • Ensure compliance with all relevant university and/or agency regulations and restrictions.
  • Coordinate the expenditure of funds, ensuring that funds are expended according to sponsoring organization’s stipulations and appropriate university guidelines as it relates to AP and Purchasing. Review and reconcile monthly expense statements, monitor monthly expenditures.
  • Follow-up with appropriate internal and external contacts to resolve questions regarding payments, purchase requests, and other routine issues.
  • Serve as point of contact for travel and purchasing policies and procedures.
  • Process deposit transmittals and transport to Finance Office.
  • Assist administrative staff in carrying out various office management duties.
  • Develop necessary operating procedures to perform duties (i.e., checklists, internal forms, tracking sheets).
  • Other duties as assigned.

Minimum Qualifications

  • High School Diploma/GED,
  • Three (3) years of related administrative and/or budget experience.
  • Related coursework at the college level may substitute for experience to the extent permitted by the * JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
  • Additional related experience may substitute for required education on the same basis.
  • For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. * 

Preferred Qualifications

  • Experience in the use of software applications, databases, spreadsheets, and/or word processing required (ex. Microsoft products, Word, Excel, Access and PowerPoint.

Special Knowledge, Skills, and Abilities

  • Knowledge of SAP System.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment. 

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
