Job Summary

The Neuroscience Graduate Program (NGP) is the nexus of the neuroscience community at the University of Michigan. It is the longest standing Neuroscience Ph.D. program in the United States (founded in 1971) and is the sole academic program that encompasses all members of the neuroscience faculty. The Neuroscience Program has built and sustained a record of exceptional doctoral education and research training. This position will provide general administrative support to graduate students, faculty and staff in the Neuroscience Graduate Program exercising discretion and confidentiality. Under general supervision of the Administrative Specialist, this person will provide grant administration and financial management support in addition to support for other NGP operations including student services, events organization, social media, and curriculum management. Other duties as assigned.

Responsibilities*

Grant Administration and Financial Management (40%) • Provide support to the Administrative Specialist for pre and post award grants management for all grants submitted through the NGP. • Monitor and follow through on cost share commitments and obligations. • Oversee internal grants and Rackham fellowships; follow up on annual reporting on the use of funds. • Monitor and reconcile NGP project grants, process financial data assuring expenses are appropriate to the type of funds. Follow up on errors and corrections as needed. • Prepare monthly financial reports. • Prepare journal entries, honorariums, vendor invoice payments, reimbursements, and expense reports. • Reconcile NGP administration PCard expenses. Program Operations (Student Services, Events, Marketing & Communications) (30%) • Facilitate the funding related to recruitment activities for faculty and staff that attend college visits, recruitment fairs, and national conferences. • Partner with the NGP Student Services Representative to assure graduate students are funded appropriately, ensure health care coverage. o Enter student fellowships and travel awards. o Submit job openings for GSI and GSRA appointments. o Create offer letters and fraction calculation forms for GSI appointments • Coordinate funding for pre-candidate students to attend the annual Society for Neuroscience meeting including their registration, airfare, and lodging. • Process faculty teaching efforts for annual BootCamp, initiate payment letters to faculty and process payments. • Provide support for various NGP DEI programs and events such as summer research programs and NGP Preview visit. • Provide support for all NGP program events including recruiting, admissions, annual retreat, symposium, and welcome day reception. • Coordinate travel arrangements for guest speakers. • Partner with Network Program Coordinator for marketing and communications including web content maintenance, social media platforms, and scheduled email communications. • Oversee office supplies and orders. Curriculum Management (30%) • Design and implement course evaluations and other program surveys • Oversee the various supply purchases needed for courses. • Provide support for the Computational Neuroscience Certificate Program. • Provide support for the Global Reach Initiatives Program. • Provide support for the development of the Neuroscience Master’s Degree Program (Neuroinformatics/Neuroanalytics).

Required Qualifications*

A Bachelor’s Degree or equivalent combination of education and relevant work experience. Experience with grant management, financial reconciliation, and reporting Excellent interpersonal skills including a positive, responsive customer service attitude and the demonstrated ability to work cooperatively in a team-oriented work environment Ability to work and communicate effectively and diplomatically with faculty, staff, and students under a variety of circumstances Strong multitasking ability with capacity to adjust for changing priorities Attention to detail and strong follow-through skills, as well as demonstrated organizational skills Ability to exercise initiative, independent judgment, tact and diplomacy to resolve problems Excellent verbal and written communication skills, Proficiency in the use of Microsoft Office software, emphasis on Word and Excel Experience using various forms of social media.

Senior Level4-5 years of Administrative experience

Intermediate Level 2-3 years of Administrative experience

Desired Qualifications*

Experience working in student services role A working knowledge of University and Rackham policies, procedures, and practices related to student affairs Experience with survey software such as Survey Monkey, Google Forms/Docs or Qualtrics Experience working in a web environment Experience with training grants, eResearch, xTrain, xTRACT, M-FACTIR and the submission of governmental grants Hands-on experience with the M-Pathways Student Administration, Financials and HR system including the student financials, accounts payable, and curriculum modules.
