As part of a clinical program for the Johns Hopkins GI/Hepatology Infusion Center activity at Green Spring Station (GSS), the employee will assist with the scheduling of new/return patient treatments and coordinate with Financial Clearance team to obtain prior authorizations in a timely manner; create EPIC referrals for all new patients; utilize online portals and resources for copay and financial assistance programs for infusion services. To enroll and maintain benefit verifications for infusion patients; ensure negative labs are completed prior to scheduling; manage both electronic and paper records; maintain standard operating procedures & small electronic databases; update patient insurance/registration information; ensure specialty pharmacy drugs are delivered ahead of scheduled infusions; provide coverage for the Infusion Center phone line and carry out other related duties.

Specific duties & responsibilities

Clinical Coordination

  • Collect patient clinical and treatment information from paper-based and electronic medical records.
  • Create and update standard operating procedures (SOP) for infusion processes based on an existing knowledge and understanding of relevant processes
  • Create new data collection forms and revise existing data form and progress notes
  • Monitor infusion therapy workques to ensure proper scheduling, coordinate with physician’s office as need to obtain necessary information.
  • Design and develop electronic database to store data from collection forms.
  • Data entry and management using electronic database and other computer software
  • Track and assess quality and completeness of data entry and abstraction; immediately raise potential concerns with supervisors
  • Maintain an organized filing system for electronic and paper-based records associated with the Infusion Center
  • Maintain compliance with HIPAA and ensure protection of patients’ personal health information
  • Regularly update clinical and administrative staff, verbally and in writing, of progress with job functions
  • Communicate effectively and cooperate with both clinical and administrative staff who are directly and indirectly involved in the Infusion Center in order to achieve clinical goals in an efficient and effective manner
  • Able to prioritize and work on multiple tasks with concurrent deadlines and utilize good time management
  • Take initiative and anticipate and respond to staff and patient needs based on awareness of routine and repeated job functions
  • Demonstrates and serves as a role model for a positive work environment, including high motivation, positive attitude, and good judgment, tact, and sensitivity in all interpersonal interactions with all research staff, investigators, students and participants
  • Proactively seek to improve or optimize work flow and discuss with coordinator/supervisor as appropriate.
  • Work closely with JHU nurses and physicians, AccessOne, Access Services. Work with GI/Hepatology Administration to ensure all billing, authorizations and/or referrals are obtained prior to scheduled appointments.
  • Coordinate with billing office to investigate denied claims and outstanding payments through the assistance programs
  • Maintain databases and portals to account for infusion center patients, enrollments, medications etc.
  • Partner with drug account reps to obtain all information and documentation needed for patient enrollments etc.

Administrative Support

  • Resolve scheduling conflicts. - 
  • Organize and maintain electronic files of correspondence.
  • Interpret and communicate operating policies.
  • Operate personal computer to access e-mail, electronic calendars, and other basic office support software.

Qualifications:

  • High School Diploma/GED and a minimum of three years of progressively responsible related experience.  Additional education may substitute for required experiences to the extent permitted by the JHU equivalency formula.  Excellent verbal and written communication skills , proficiency in Microsoft Word and Excel and possess the the ability to work independently and manage multiple tasks required.  
  • JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.   For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred:

  • Two years college or equivalent work experience.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
