General Summary/Purpose:

  • The Family Programs Specialist (the “specialist”) will be responsible for management of the award-winning Breastfeeding Support Program. In addition, the specialist will manage and administer other HR programs related to families at Hopkins.
  • The specialist will oversee program operation, manage vendors, coordinate with other HR departments (such as administrative staff, community engagement, benefits operations and the service center), establish and adhere to best practices, seek to learn about and understand families at Hopkins, respond to questions from partners, sustain positive relationships with internal and external stakeholders and support data collection and program evaluation as required by the organization.
  • In addition to being the point person on breast feeding support, the specialist will assist with proposing new and improved practices and/or initiatives, and will support creation and implementation of a family strategy that meets university needs. The specialist will frequently be called upon to work across functions and departments to ensure smooth operations and seamless integration of programs for the benefit of Hopkins employees, faculty and, when applicable, students. Together with the director and the Family Programs specialist, the specialist ensures that our work is strategic, well managed and an admirable reflection of the organization’s stated goals and values.

Primary Duties and Responsibilities:

Breastfeeding Support 

  • Manage all aspects of JHU Breastfeeding Support Program including maintaining benchmarks, key tasks and work plan. Represent program throughout the university and health system, establish and maintain highest standards, administer program efficiently and respond to and initiate innovation or change as required. Seek opportunities to support and understand the needs of mothers returning to the workforce and collaborate with multiple partners to meet those needs.
  • Establish new rooms including planning, liaison with facilities and other departments to organize logistics, and stocking/outfitting the new space as required.
  • Process registrations, answer questions and communicate with new applicants.
  • Administer system for checking eligibility and distributing free kits to income-eligible applicants.
  • Maintain inventory and supplies for mother’s room throughout the JHU community, including travel to and from various campuses and/or supervise a work-life student, when available to do so. Anticipate needs to minimize disruption/interruption.
  • Track participation and spending, keep excellent notes and produce monthly and quarterly reports as well as respond to requests for data.
  • Respond to phone and email requests from clients, colleagues or outsider vendors (e.g. Medela and Ameco).
  • Work with communication/marketing team to update printed materials.
  • Stay up to date on local and national legislation, relevant guidelines and peer group and corporate models. Keep director informed of opportunities.
  • Represent needs of the program at worklife and/or HR team meetings.
  • Represent program at benefits fairs or other community events.
  • Design and delivery presentations regarding lactation support.

Other Family-Related Programs and Projects as Assigned

  • Suggest, develop and lead new programs as university needs arise.
  • Respond to questions referred to us by the Benefits Service Center or by outside vendors (e.g. Aetna) regarding family programs including but not limited to: dependent care voucher, scholarship, child care vendors, emergency backup, child care resource and referral or other.
  • Participate in short term, long term and permanent special projects as needed in the worklife or HR department.
  • Maintain accurate participation data, records and reports for family programs.
  • Establish and maintain professional networks and business relationships that support or contribute to supporting families at Hopkins.
  • Organize meetings and/or provide administrative support, coordination and planning when needed.
  • Work as a team to provide back-up in absence of family programs specialist or director.

Degree of Independent Action Performed:

  • Must be able to function independently and make decisions.
  • Must be able to represent team, and embody established standards for best practice in interactions with internal colleagues and external vendors and partners.
  • Must be able to independently and articulately describe attributes of our programs at fairs and meetings.
  • Must demonstrate sound judgement in knowing when to elevate issues to the director.

Internal and External Contacts Required as Part of the Job:

  • Frequently called upon to respond by phone an email to inquiries from JHU departments as well as outside vendors and agencies.
  • Contacts may include senior management, department heads across the university and at peer organizations as well as HR colleagues.

Requirements:

  • Bachelor’s degree and at least five years of post-college work in a professional or relevant human services setting required.
  • The ideal candidate would have experience in settings serving parents, children and families. Some experience with or knowledge of issues in breastfeeding support and lactation is useful and in absence of this knowledge, willingness, comfort with and capacity to learn context and needs of nursing mothers in the workplace is essential.
  • Demonstrated experience with program management and oversight required including ability to work to a timeline, set priorities, make decisions and both create and adhere to stated goals.
  • Experience with overseeing vendors and/or with administering community programs, HR operations, family programs, child care or school settings required.
  • Demonstrated ability to work with Microsoft suite including using Excel to maintain and track data on program usage and impact. Comfort with technology to maximize use of additional JHU reporting, data and tracking programs.
  • Excellent written and verbal communication skills required including preparing timelines, summaries and reports. Ability to admirably and articulately represent JHU in vendor relationships, in work with key managers at JHU, in presentations and at employee, student and community events.
  • Experience with needs assessment and program evaluation a plus.

Computer or Other Special Skills:

  • Comfort with Microsoft suite including Outlook, basic functions of Excel, Word, and PowerPoint.
  • Ability to complete accurate data-entry and learn to generate Excel reports and charts is required.
  • Ability to learn JHU database “SAP” to respond to data requests with accuracy and attention to detail.

  • Ability to travel to other JHU and local Baltimore locations in own vehicle or using public transportation. Distance between parking or shuttle bus stop and mother’s rooms varies. Must be able to navigate long passageways, sometimes utilizing elevators to locate and reach rooms in multiple locations.
  • Must be able to lift and carry boxes and materials up to approx. 30 lbs. (or independently manage a cart to do so including transferring materials to and from the cart).
  • Need to work well with people, enjoy collaborative relationships and have a friendly and professional phone/email as well as mature and warm personal presence that engenders confidence for our mothers.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
