ADMINISTRATIVE ASSISTANT II, STOCKROOM, Facilities-Repair and Maintenance (R&M), to perform complex and advanced administrative support for the R&M stockroom and work collaboratively with peers to provide cross-functional support and backup to other R&M teams. Primary responsibilities include entering components on work orders and maintaining accurate data; matching packing slips to purchase orders and validating deliveries; running picklist for stock clerks; updating kit statuses using picklists; and running open purchase order reports to review and update delivery dates, follow up with vendors, and verify material groups and GL accounts. Will also perform other duties as assigned including providing backup support and coverage for other R&M administrative assistants.
A high school diploma or its equivalent; at least three years of administrative, office, or related experience; thorough understanding of own work and how it impacts operations outside own work unit; ability to recognize needs of unit and how it impacts other areas at MIT and understand own role relative to all areas; ability to work with interruptions and on more than one project at a time; experience working as part of a team; advanced and varied computer software skills, specifically with MS Office, and ability to identify and learn new software as necessary; and excellent interpersonal and communication skills in order to represent the work area and the larger MIT community.
