SENIOR ADMINISTRATIVE ASSISTANT, Earth, Atmospheric and Planetary Sciences (EAPS), to perform complex and diverse administrative and office management duties in support of the academic administrator in the Education Office. The Education Office is the first point of contact to external constituencies and serves approximately forty faculty, 160 graduate students, and thirty undergraduate students. Responsibilities will include problem solving in highly varied and complex situations; serving as a high-level individual contributor on multiple projects; responding to telephone and email inquiries; processing and managing graduate student appointments, grades, degree lists, and thesis submissions; scheduling classrooms for the building; maintaining the education databases for student records and admissions; monitoring expenses and processing reimbursements; maintaining the internal pages of the department’s website; drafting correspondence and scheduling meetings for the admissions/education committees; assisting with the organization and running of other educational activities such as IAP, UROP, and departmental open house; training new AAs in Education Office procedures and regularly reviewing procedures with all AAs; working with the faculty and their support staff on the processing of visiting student applications; creating presentation materials; and providing general support for the academic administrator in other educational activities.
REQUIRED: at least five years’ administrative/related experience in student services or similar area; excellent organizational, problem-solving, interpersonal, telephone, email, and verbal and written communication skills; attention to detail; ability to work independently and as part of a team; initiative and self-motivation; service orientation; comfort working in a fast-paced and complex environment; and proficiency with MS Office. A bachelor’s degree and knowledge of SAP, Concur travel reporting, Graduate Appointment Portal, FileMaker, and Drupal or similar system preferred. Job #16985-6
