School/Center Overview

The Business Services Division (BSD) supports the individual and collective needs of the Penn community by promoting a hospitable, customer-friendly campus environment through the provision of mission-critical services and essential operations. BSD’s mission is to provide high-quality service in a fiscally responsible manner. The PennCard Center has traditionally served as a service center in providing identification cards and ancillary services to the university community. Recently, the department has undertaken multiple campus-wide initiatives that require our staff to possess financial and technical capabilities. PennCard seeks a professional and team oriented administrator who values customer service, is comfortable in a fast paced environment and can adapt to the changing landscape of the center.

Duties

The Coordinator serves as the primary support person for administration of front office and functional support to PennCard Center, the office responsible for high-quality services related to the University’s ID Card. The person will be a primary interface for faculty, staff, students, alumni, affiliates, and visitors. In addition to performing tasks related to card production, the coordinator selects and trains temporary staff employees and serves in a lead capacity for these individuals providing guidance, policies and processes as needed. The coordinator maintains the necessary office equipment/supplies in order to ensure all business operations run smoothly.

The Coordinator provides financial and accounting support for the department including the preparation of required daily, weekly, and monthly reporting requirements; performs daily reconciliation of office transactions; and coordinates resources for special projects and events.

Qualifications

An Associate’s Degree and 3-5 years of experience or equivalent combination of education and customer service, banking or similar experience is required. Knowledge of desktop computing required.

Demonstrable experience using database software and strong aptitude for learning technical systems and software applications required. Ability to comprehend the source data imports and work flow between multiple university databases that populate our system. Strong administrative and interpersonal skills coupled with customer service orientation. Must be well-organized, ability to adapt to the changing landscape of the center and work with limited supervision. Ability to train temporary staff to aid in resolving difficult or stressful customer service issues that can impede card functionality. Familiarity and experience with Penn’s Ben Financial and Blackboard Transaction and Reporting tools preferred. Some overtime, weekend and evening hours may be required.
