OFFICE ASSISTANT II, MIT Environmental Solutions Initiative, to join a committed and hard-working team focused on global environmental challenges. Will provide office support to the ESI team, especially the director; handle all scheduling requests and maintain calendars for the director and ESI staff; be responsible for all event-related logistics; maintain and investigate ideas to expand ESI’s communication capacities; and provide general administrative support. Responsibilities include scheduling diverse appointments, meetings, and travel; answering requests for meetings; assisting with travel arrangements and processing of travel expense reports and reimbursements; working with vendors and MIT procurement to process payments; providing administrative office support to all members of ESI’s staff.; performing basic maintenance the ESI website and contracting with outside vendors for website development; assisting the director with communications; collecting content for, organizing, and sending monthly ESI email newsletter; collaborating with team members to ensure smooth operations; serving as a point-of-contact for all visitors and responding to in-person, telephone, and email inquiries; monitoring and ordering supplies/equipment; distributing mail; coordinating ESI events and group meetings on and off-campus, providing options for selecting venues, reserving space, procuring catering and others services, and communicating with attendees on all logistical and informational needs; and performing other duties as requested.

REQUIRED: high school diploma, one year of secretarial/office/administrative experience, strong organizational and written and oral communication skills, experience with MS Office, self-motivation, and interest in learning MIT systems and tools. Bachelor’s degree preferred, as is an interest in and some knowledge of environmental issues. Job #16782-3
