SENIOR ADMINISTRATIVE ASSISTANT, Material Science and Engineering (DMSE), to provide advanced administrative support for DMSE’s Academic Office, with a focus on the graduate program (SM and Ph.D.). Will serve as a key resource on matters pertaining to the graduate program academic cycle; coordinate recruitment, enrollment verification, visa documentation, orientation, registration, budget, travel, and all aspects of graduate student appointments; monitor graduation requirements, arrange faculty-student meetings, track progress, and schedule doctoral examinations; assist with developing  departmental academic processes and procedures for graduate admissions and their integration with other DMSE administrative functions, e.g., finance, HR, and communications; serve as lead contact for DMSE’s Committee on Graduate Studies and departmental liaison for graduate students, graduate advisors, and other Institute offices; provide information/instructions regarding departmental and Institute policies and procedures; organize functions (career fairs, lectures, weekend events); serve as backup support for the undergraduate program; and handle other duties as assigned. 

Job Requirements

REQUIRED:  at least five years’ administrative, office, or related experience, preferably in an academic environment; excellent administrative, organizational, interpersonal, and communication skills; keen attention to detail; discretion and good judgment with highly sensitive and confidential matters; experience coordinating events; excellent grammar and proofreading skills; database experience; advanced proficiency using Word, PowerPoint, Excel, and Outlook; WebSIS, GAP, and online social media experience; and ability to identify and learn new programs and software as needed.  Must be able to work effectively with people at all levels and from varied backgrounds; learn quickly and work within critical time demands; handle multiple tasks simultaneously; work independently and as part of a team; prioritize and problem solve; and work under pressure.
