The Center for Immersive and Simulation-based Learning (CISL) at the Stanford School of Medicine, and its 28,000 square foot Goodman Immersive Learning Center (ILC) in the Li Ka Shing Center for Learning and Knowledge (LKSC), is recognized as a world-leader in Immersive and simulation-based Learning (ISL). For over 25 years Stanford has been a pioneer in research, curriculum development, and instructor training in simulation in healthcare, through the work of Professor and current Associate Dean for ISL David Gaba MD and a host of other medical school faculty. The ILC offers various immersive learning experiences, including mannequin-based simulation, partial-task training, and standardized patient actors (who are trained to play the role of a patient with a specific medical complaint). The focus on medical education and lifelong learning is the driving force of the ILC. The use of the ILC continues to grow as more immersive activities are being developed for all learner populations, including medical students, housestaff, fellows, and experienced clinicians both from Stanford Medicine and from outside institutions.

The ILC Assistant is responsible for supporting the activities of CISL, including direct support for the Associate and Assistant Deans of CISL, as well as the Learning Space Operations Team. This includes knowledgeably promoting and supporting the department’s activities/programs and handling a wide variety of internal and external communication in an environment of high customer service. The position requires multi-task flexibility, strong detail orientation, problem-solving skills, excellent follow through and the ability to work autonomously as well as interdependently and concurrently with many people, projects and activities. This position requires being located at the entrance of the ILC, greeting both visitors, students, faculty as well as way finding for the LKSC activities that go from the loading dock to the conference center.

Duties include: 

  • As first point of contact to all visitors of the ILC; greet visitors with exceptional customer service. Provide general policy information and guidance to visitors inquiring about use of the ILC rooms and resources.
  • Post event information to digital display and post way-finding signs daily, staff and room scheduling as necessary, communicate with vendors for receipt of supplies/equipment. Assist with CISL Symposium as requested.
  • Take minutes at ILC Staff Meetings and Operations Meetings and distribute to attendees.
  • Point person for coordinating and scheduling numerous meetings and rooms, including staff meetings and event consultation meetings.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain office supplies and equipment. Maintain tracking sheets for staff computers and equipment warranties.
  • Point of contact for general maintenance, health and safety and other facility concerns within the ILC.
  • Maintain process and policy documentation on departmental wiki.
  • Manages Payroll for Standardized Patient contingent employees.
  • Instruct backup contingents of policies, processes and status of current projects.

EDUCATION & EXPERIENCE (REQUIRED):

High school diploma and three years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail. 
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

WORKING CONDITIONS:

  • Busy center with ongoing interruptions from event participants and students, building deliveries, and visitors
  • Attending the reception desk approximately 80% of the day
  • The work environment has no natural lighting
