Occupational Summary

Work Performed

Transcribe medical notes into electronic medical record.

Triaging patient telephone requests includes:

  • scheduling
  • retrieving documents
  • loading to Browser
  • PACS and ARIA

Provide administrative support to the Clinic Director Dr. Carol Hahn.Maintain and support Dr.Hahn's daily/weekly/monthly calendar through QGENDA. Schedule and coordinate Dr. Hahn's hospital,off-campus, and national meetings. Prepare and oversee the monthly combined schedules for Dr. Hahn,Therapist, Dosimetrist and Physicists on call schedules for Wake County clinics. Maintain 9 provider templates through Maestro for 3 Wake County Radiation Oncology sites which include making schedule changes through Template Editor and Template Builder for Wake County.Scan outside documents into electronic medical records, communicate with DUMC and DRAH referring physicans and outside institutions and providers as needed. Review quality assurance on patients in ARIA.Coordinate and schedule physician recruitment and other RADONC Personnel when needed.Distribute mail and miscellaneous documents to appropriate DRah staff.Assist Dr. Hahn and Wake County APP's with reappointments to Duke Hospital, Duke Raleigh and Wake Med. Renew Dr. Hahn's DEA/NC Physician's licenses and ABR certification.Prepare travel reimbursements for physicians.Prepare travel reimbursements for Dr. Carol Hahn and other MD Wake providers when needed.Request and submit IT Help Desk tickets as needed.Assist faculty physicians with reappointments to Maria Parham Medical Center, Danville Regional Hospital, Duke Health, Duke Regional, Scotland Memorial Hospital and Wake Med Health & Hospitals.Available to help others when needed.
Perform other related duties incidental to the work described herein.


Someone familiar with how to maneuver within Maestro and how to prepare Duke Travel Reimbursements.

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
