Job Summary

The Surgery Pre-Operative clinic at Domino's Farms is seeking a highly competent, motivated and organized individual to provide direct administrative and patient services support for patients, faculty, and staff. 

Responsibilities*

  • Provide telephone reception, accurately record any phone messages and assure they are forwarded appropriately
  • Screen patient calls for appointments and schedule as appropriate
  • Process and compile patient information for appointments
  • Call patients to remind them of upcoming appointments; greet them when they arrive and monitor wait time  
  • Assist the physician's assistant in preparing for patient appointments
  • Communicate effectively by telephone and email with patients and University representatives, utilizing excellent customer service skills.
  • Provide administrative support for maintaining calendars, scheduling and planning meetings and other appointments and engagements with UM faculty and staff, dept. representatives and medical providers
  • Assist with ordering supplies, inventory management, etc.
  • Provide routine office support including filing, copying, mailing, faxing and delivering documents to other offices on campus and order supplies and equipment.
  • Organize and maintain hard copy and electronic files.
  • Assist with other projects as necessary.
  • Able to efficiently navigate the electronic medical record system to obtain information as needed
  • Pre-Arrival/Arrival: Able to accurately check-in patients. Able to identify and initiate resolution for issues. Obtains appropriate signatures and any needed information (forms, waivers).
  • Able to identify “red call” and “yellow card” situations and respond appropriately.

Required Qualifications*

Patient Services Associate:

  • High school Diploma or GED.
  • 2-3 years of experience in an administrative and/or patient care role.  
  • Previous experience in a patient care environment.
  • Exceptional interpersonal skills and ability to work well within a team setting.
  • Communicates effectively.
  • Demonstrates active listening, written, verbal and information technology skills.

Patient Services Assistant:

  • High school Diploma or GED.
  • 0-2 years of experience in an administrative and/or patient care role.  
  • Exceptional interpersonal skills and ability to work well within a team setting.
  • Communicates effectively.
  • Demonstrates active listening, written, verbal and information technology skills.

Desired Qualifications*

  • The ideal candidate will have a strong knowledge of University policies and procedures, scheduling meetings, and data entry.
  • Demonstrated ability to work collaboratively will be essential to working effectively in our team-oriented environment.
  • Experience with MiChart (electronic medical records) and other office systems. 

Work Schedule

This position has three rotating shifts:  7:00 am  - 3:30 pm, 8:00 am  - 4:30 pm, and 9:00 am  - 5:30 (on Wednesdays this shift is 10:30 am  - 7:00 pm).The scheduled shift rotates on a weekly basis.  The successful candidate will be required to rotate on all shifts.
