Job Summary

The Department of Pediatrics, Division of Nephrology research program is seeking qualified candidates for the position of Administrative Assistant to provide highly responsible and complex administrative support to the director and team members of the Pediatric Nephrology Clinical and Translational Research Program.

Responsibilities*

  • Manage support activities of the research office and the multiple additional extramural grants and networks
  • Arrange conference calls and prepare minutes for the research team
  • Reconcile monthly PCard, process as needed for travel, and other hosting charges
  • Complex calendar management and scheduling for the director
  • Coordinate national and international travel arrangements
  • Coordinate visits and travel for visiting research collaborators
  • Coordinate steering committee meetings, symposia and other special events
  • Liaison with key internal and external professionals on behalf of the director. Communicate on behalf of the director regarding activities related to the research program
  • Work with the director and other team members to develop PowerPoint and other presentations
  • Administer and/or provide assistance with division projects, including gathering and distributing information, preparing and tracking progress, analyzing data and engaging with communication needs.
  • Work collaboratively to plan and coordinate events (e.g. meetings, conferences, retreats, conference calls) including specifics such as space reservation, communications, catering, on-site event support, equipment.
  • Other administrative duties as assigned

Required Qualifications*

  • A track record of reliability, attention to detail, strong organizational skills, and excellent interpersonal skills.
  • Good written communication skills. Proficiency in Microsoft Office, particularly Word, Excel, Powerpoint and Outlook.
  • Flexibility and adaptability – willingness to work on different projects as assigned.
  • Experience providing direct administrative support to management using independent judgment and professionalism.
  • Ability to manage workload under time constraints and within established priorities.
  • Excellent verbal and written communication

Desired Qualifications*

  • Experience using University of Michigan administrative systems or at least one-year administrative experience in a hospital
  • Graduation from a college or university with a Bachelor's degree in Business Administration or a related field and at least one year of general business experience is preferred.

  • Reasonable knowledge of Michigan Medicine policies, procedures and systems

Work Schedule

40 hrs/week. Duration: Now through May, 2019

Background Screening
