Administrative Associate 3
PERTS lab in the Department of Psychology is currently seeking a full time Administrative Associate (AA) to provide vital administrative, financial, and operational support to the PERTS Executive Director, leadership team, and staff members. S/he will be responsible for managing all of the financial transactions of the organization and monitoring funding; scheduling events and managing travel; and be the point of contact for team members in administrative issues. S/he will also serve as a liaison for administrative issues with several Stanford departments and many external collaborators. This position will report to the Director of Operations and interface heavily with senior leadership and key partners.
The Project for Education Research that Scales (PERTS) is an applied research center in the Psychology Department. We’re a small research group with a start-up mentality and large ambitions for increasing the academic success of students. We study psychological factors that affect student achievement, and we partner with schools, colleges, and other organizations to improve student motivation and achievement on a large scale. PERTS drives higher and more equitable academic engagement in America’s schools and colleges by empowering educators to apply insights and methods from the learning sciences.

- Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
- Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
- Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
- Create complex reports and spreadsheets which may utilize specialized software and systems.
- Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
- May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.
- Conduct literature searches, and write literature summaries, requiring preliminary judgments after conceptual approach is outlined by the supervisor. Build and organize data as requested by principal investigator or faculty; use common statistical programs, requiring the application of job control language in generating and organizing data.

Education & Experience:
High school diploma and four years of administrative experience, or combination of education and relevant experience.
