Compliance Assistant

The Office of Technology Licensing at Stanford University is seeking a Compliance Assistant to provide centralized administrative support for sponsored research compliance. Under the general supervision of the Compliance Manager, the Compliance Assistant ensures that intellectual property compliance requirements for all government sponsored research are met according to Bayh-Dole regulations. Failure to comply or incomplete compliance can lead to a loss of research dollars for the University. The ideal candidate must possess exceptional organizational skills, attention to detail, and ability to identify issues that require escalation. 

The Office of Technology Licensing (OTL) was established in 1970 to manage the intellectual property assets of Stanford University. OTL evaluates, markets, and licenses technology owned by the University. OTL's mission is to encourage effective technology transfer for the public benefit as well as generating royalty income for Stanford to benefit research and education. OTL is one of the country's most active offices in the field of technology transfer from the university to industry. Our staff, most of whom are professionals engaged directly in licensing, manages over 3,000 active dockets.


  • Ensure that Federally funded inventions are entered into the Federal Government’s iEdison database and updated regularly during the life of the invention.
  • Prepare and submit all necessary license documents to the sponsor via iEdison.
  • Review and verify sponsorship information using Stanford’s SeRA database. Retrieve and review research agreements for compliance actions. Enter sponsor information into OTL’s internal database.
  • Meet regularly with Compliance Manager and technology licensing teams to discuss compliance issues.
  • Interact with inventors, department administrators, and patent attorneys to obtain and verify correct sponsorship information.
  • Maintain an automated calendar reminder system designed to help manage deadlines.

Education & Experience: 

Bachelor’s degree and one year of administrative experience.

Knowledge, Skills, and Abilities: 

  • Excellent oral and written communication skills.
  • Strong attention to detail.
  • Proven ability to manage a multitude of priorities in a fast-paced environment.
  • Ability to take initiative, prioritize workload, follow up and work independently.
  • Demonstrated ability with databases, word processing and spreadsheet software.

Physical Requirements*: 

  • Frequently perform desk-based computer tasks, seated work and use light/ fine grasping.
  • Occasionally stand, walk, use a telephone, lift, carry, push, pull objects that weigh up to 10 pounds, writes by hand.
