The Office of New Student Orientation and Academic Initiatives (NSOAI), a part of Penn’s Provost’s office, is charged with operating a number of university-wide programs, including online and in-person new student orientation for incoming first-year (domestic and international), transfer, and exchange students; second-year experience; Penn Preceptorials; the academic theme year; and other educational, cultural, and social resources for the University.

Under the direction of the Associate Director for NSOAI, the Assistant Director will design, manage, and staff programs and initiatives for New Student Orientation (NSO), a 6-day program for 2450 freshmen (domestic and international), 150 transfer, and 150 exchange students in all four undergraduate schools.

Manage, implement, develop, and assess university-wide academic initiatives including academic theme year, Penn Reading Project (PRP), Preceptorials, First-Year Experience (FYE), Second-Year Experience (SYE), Take Your Professor to Lunch (TYPL), Penn Perspectives, and other programs.

Initiate, execute, and assess Thrive at Penn (TAP), the University’s online pre-orientation program preparing freshman and upper class students for the Penn experience.

Support Associate Director and Director with financial administration of NSOAI programming, staff, and grant budgets. Duties include, but not limited to, analyze budgets, reallocate charges, forecast Fiscal Year budgets, create requisitions/purchase orders, and manage purchasing/travel cards.

Manage grant and reimbursement processes for NSOAI programs and events. Duties include organizing logistics, directing selection processes, and maintaining financial records.

Coordinate various publications and websites for NSOAI programs and events. Duties include managing content, writing, designing, proofreading, technical support, and working with outside agencies.

Oversee the Peers Helping Incoming New Students (PHINS) orientation leader program. Duties include coordinating the recruitment, selection, training, and evaluation processes of student volunteers.

Supervise student and occasional part-time staff, including payroll documentation, e-TimeSheets, and periodic appraisals.

Other duties and responsibilities as assigned.

BA/BS required, Masters degree preferred plus 1-2 years related experience or equivalent combination of education and experience; experience working in higher education preferred; Excellent organizational, planning, problem solving, and writing skills. Experience in managing student and/or part-time workers preferred. Record of success in planning large-scale events (preferably organizing events related to student orientation programs), including program design and budgeting. Substantial computer expertise with database, word-processing, web design, content managing systems, social media and digital marketing, and desktop publishing software. Understanding of Penn’s financial and accounting systems is highly desirable. Ability to work evenings and weekends as required.
