The Operations Manager will oversee all internal administrative operations in the Office of External Relations and WSE Dean’s Office and provide executive level support to the Associate Dean of External Relations. This includes managing at least 5 direct reports and overseeing budget expenditures for the Dean’s office. Will interpret and develop operating policies, assess and prioritize requests related to the Associate Dean’s availability, must be able to exercise independent judgment in the resolution of administrative problems, and communicate with all levels of internal and external administrative and academic leaders, key donors, alumni, guests, and others.
The Primary duties and responsibilities
- Prepares the Associate Dean for meetings and presentations and works with other staff to ensure that briefing materials for appointments are prepared in advance and accurate.
- Directly manages at least 5 administrative staff members who support gift officers, corporate and foundation relations officer, Director of Development, and general administrative operations along with WSE Dean’s Office staff members. Responsible for managing and evaluating their time, handling HR items, and keeping track of their projects and priorities.
- Collaborates with others to prepare comprehensive principal prospect level briefings for the Associate Dean, Whiting School leadership, and faculty. Solicits input from Director and Development Officers. Compiles data from various systems and reports. Creates related graphs and tables. Writes and edits copy and exercises appropriate discretion.
- Oversees Budget of the Office of Development/Alumni Relations and Marketing and Communications.
- Leads and coordinates Team meetings and work groups, including presenting and discussing issues. Facilitates discussion for the purpose of developing plans and/or identifying solutions to address workflow, strategy, and goal alignment. Recommends, develops, and implements policy and procedural changes to improve operations of the office.
- Oversees the execution of briefings and itineraries for donor and prospect visits for the Dean and Associate Dean and works in tandem with the Development Coordinator and the Sr. Special Events Coordinator
- Provides support for donor and prospect engagement. Drafts donor correspondence and assists in developing donor proposals and presentations. Helps research donors and prospects and assists in portfolio analysis. Regularly proofreads and edits confidential, sensitive information. Secures approval and signature before distributing when needed.
- Development Database Management, including gift processing for operating, program, capital gifts and private grants. Manages automated acknowledgments for various campaigns and drafts/edits personalized acknowledgements. Duties include the accurate entry of data for donor and prospect records, and the production of lists and reports.
- Produces a variety of reports and presentations using information from multiple sources to address a range of requests with general guidance from Associate Dean. Compiles and analyzes data when needed. Conducts independent research and creates original content.
- Provides a range of related services in support of projects and project management for the Office of External Relations.
- Attends and provides support for Whiting School and institution-wide events.
Qualifications: High school diploma/GED with minimum five years related experience required. Bachelor's degree preferred. Additional education may substitute for years of work experience (JHU Equivalency Formula: 30 undergraduate degree credits/semester hours or 18 graduate degree credits may substitute for one year of experience).
The successful incumbent will have excellent word-processing and database management skills; significant PC experience and a thorough working knowledge of Windows, Word and the internet (knowledge of Excel, Access and PowerPoint are preferred); outstanding interpersonal skills; strong organizational skills; ability to manage more than one project simultaneously; excellent writing, editorial and verbal communication skills; ability to work in a dynamic, fast-paced environment.
