The Senior Human Resource Coordinator provides a wide range of human resources support and consulting services to the department managers, supervisors, staff and administration covering the following: recruitment and employment; diversity awareness needs assessment; salary administration and analysis; employee relations (including grievance resolution, disciplinary action, termination); training and education; information management; benefits interpretation, personnel records management, HR policy interpretation, as well as, information dissemination. In addition, the Sr. HR Coordinator will support the Senior Associate Director of Development with the daily operations of the development office, focused on the mission of private sector fundraising for research, patient care and educational needs for the Department of Dermatology.  Duties include including communication with patients, donors, prospects, alumni, leadership, department director, faculty, administrators, and professional colleagues; assisting in the creation and execution of stewardship and development events; maintaining the integrity of the donor database; gift processing; the creation of new financial accounts; preparing acknowledgement letters and other donor collateral materials, and other tasks as assigned.

Specific duties & responsibilities:


Coordinate employment process by working with faculty, staff, administration and appropriate University School of Medicine (SOM) and Johns Hopkins Health System (JHHS) offices to ensure efficient and smooth process in accordance with all applicable SOM and JHHS policies and procedures. This includes:

  • Providing guidance and making recommendations to divisions on appropriate starting salaries and promotional salaries for faculty and staff to ensure maintaining balance of equity.
  • Assist with evaluating internal job comparisons for equity purposes.
  • Acts as the liaison to the SOM and JHHS employment recruiters and compensation analysts as it related to personnel requisitions for the department.
  • Assist and advise managers and employees on: tax information, sick time, vacation time, holidays, leave of absence, family medical leave, payroll, and tuition reimbursement.
  • Develop and review job descriptions with supervisor/manager/faculty and suggest changes based on understanding of area and need. Prepare personnel requisitions for submission to Human Resources.
  • Perform preliminary interview of candidates. Provides resources to recruitment and compensation staff.
  • Makes offers of employment on behalf of the SOM and JHHS
  • Perform Reference checks for candidates.
  • Monitor time and attendance forms for staff via e210 system and Kronos Time management system
  • Participate in creating/developing department/divisional orientations. May deliver training.

HR Management:

  • Employee will be responsible for working closely with Human Resources for both the SOM and Health System to ensure that appropriate policies and procedures are followed, including the adherence to state and federal laws regarding FMLA, and other labor laws.
  • Responsible for coordinating initial departmental efforts related to staff that require Family Medical Leave (FMLA) and Short Term Disability (STD). Will work with divisional administration, supervisors, and SOM and JHHS HR representatives on submission of paperwork related to this area.
  • Assist Administrator and divisional leadership in developing departmental/divisional policies and procedures that comply with those of the SOM and JHHS.
  • Review and monitor the access of employee and process ZSR’s as appropriate to ensure employee has network and system access.
  • Employee will be responsible for attending HR forum meetings as they occur and communicate to each department within the SOM new policies and procedures, etc.

Employee Relations:

  • Assist in gathering sensitive information for the grievance process, disciplinary action, and other personnel matters.
  • Advise management on termination and disciplinary decisions
  • Responsible for exit interviews for those employees terminating or transferring; signing of original time record, retrieval of badges and keys, answering questions relating to final paycheck, etc.
  • Advise managers on human resource related questions. Follow up with necessary personnel to ensure departmental and university guidelines are followed.


  • Coordinates annual merit review and introductory review process and notifies divisional management. Uses SOM guidelines to determine merit increases; communicates changes to staff.
  • Submits appropriate ISR’s to update staff and faculty increases.
  • Maintain existing and create new records of personnel for departmental faculty and staff of the SOM and JHHS.
  • Processing ISR's for new hires, terminations, salary change, position create, LOA and all other ISR actions
  • Maintain accurate spreadsheets detailing the work that is being performed. This includes updating the ISR and Payroll spreadsheets with current information.
  • Verify necessary paperwork has been received from new faculty, post-docs, and residents for processing of I9 in compliance with SOM established procedures.
  • Investigate and manage repayment of salary overpayments.
  • Adhoc duties as requested.


Bachelor's degree in Human Resources, Business Administration, or other related field and three (3) years related experience.  Additional experience may substitute for required experience, to the extent permitted by the JHU equivalency formula.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
