General Summary/Purpose:

This position will provide professional level sponsored projects management specifically for pre-award functions that include, but may not be limited to: proposal preparation, proposal compliance, budget development, proposal review and submission. This position works independently on a variety of grants/contracts that range from simple to highly complex. The primary goal of this position is to ensure timely, effective and efficient submissions of sponsored funding requests. This position is supervised by the Grants and Contracts Manager of the Neurology/Neurosurgery PreAward Team.

Specific Duties & Responsibilities:

This position provides guidance and learning support to the Faculty, Analysts and Administrative Staff within the Departments of Neurology and Neurosurgery.

This position works independently on a variety of complex level grants/contracts, including those from NIH, NSF, DOD and various foundations. These grants, contracts and awards may involve highly detailed budgets, multiple projects, Cores and Sub awards, Investigator-initiated, Consortium, Dept. of Defense grants, and higher complexity Foundation grants. Some of the NIH mechanisms that this position will be working with are, R01, R01/RFA, R01/Forgarty, U01, P01, P30, R03, R15, R21, R25, R41 STTR, K08, K12, K23, KL2, K99/R00, F31, F32, DP2.

Will ensure that all of the proper information/documentation is uploaded into the designated application portal (ASSIST, Workspace, NMSSFlex, etc). Will prepare and review grant and contract proposals and provide guidance to the PI in the interpretation and implications of applicable grants terms and conditions. Will work with the Office of Research Administration (ORA) for the Department of Medicine and external funding agencies to process grant and contract applications. Will work directly with the application’s Principal Investigator, Co-Investigators and administrative staff to ensure effective, accurate and timely grant proposal development. Point of contact for department faculty and/or divisional staff toward the planning and development of budgets for submission with grant packages to various federal offices, private agencies/foundation and commercial agencies.

Will compare budget detail to budget justification for consistency and accuracy. Review budget justification for appropriateness and completeness of content. Verify applications are in compliance with sponsoring organization’s guidelines, as well as with relevant University policies and procedures. Assist Principal Investigators in completion of required information for grant proposals.

Coordinate submission of large-multi-center proposals, ensuring that they are in compliance with the sponsor’s requirements.  Responsible for tracking grant/contract proposals and other documentation through the signature/approval processes. Assure that appropriate human subject compliance training has been completed by key personnel. Point of contact for subaward/subcontract organizations to ensure that the information/documents provided for submissions are accurate and in compliance with the sponsor’s guidelines. Coordinate submission of all proposals ensuring that all applicable direct and indirect cost rate have been applied. Advise faculty and staff on changes in sponsored research polices.

Facilitate and/or produce specialized sponsored projects reports utilizing institutional or departmental systems (i.e., COEUS, SAP, Dashboard, etc.) for assigned principal investigators and Neurology and/or Neurosurgery Administration. Utilize COEUS and/or Dashboard to provide various reports, such as proposal success rates; amounts of proposals submitted by PI and in total, total direct and indirect costs submitted by fiscal year, etc.

Minimum Qualifications (Mandatory):

  • Bachelor’s degree required, along with 4 years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Special Knowledge, Skills, and Abilities:

  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.
  • Thorough knowledge of external Federal guidelines/procedures for grants and contracts, including NIH, NSF and DOD.
  • Prior experience preparing and submitting applications in COEUS, ASSIST and WORKSPACE.
  • Prior COEUS experience

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
