General summary/purpose:

The Department of Neurology, Neuromuscular Division is currently searching for a part time office assistant that will work closely with the Administrative Manager, Budget Specialist, and Medical Office Coordinators with day-to-day clerical operations. The Office Assistant will also serve as a liaison between the many locations of the Divisional faculty bridging the gap with the flow of paperwork and files between the Rangos Building, Meyer Building and the Johns Hopkin Outpatient Center.

Specific duties & responsibilities: The Office Assistant will assist with the multiple daily faxing, scanning, and filing of the entire division. Assist with the upkeep of printer/scanner and other office equipment.

Perform monthly Purchase Order close out.

The Office Assistant will manage the office supplies and maintain the distribution of office supplies.

Orchestrate daily mail runs from various locations in the division to and between the faculty offices on the East Baltimore Campus.

Mail will be sorted daily and distributed to the entire division.

Manage and utilize computer equipment and tools efficiently.

Manage the upkeep and maintenance schedules of the Shredder services in the divisions.

Manage the discarding of office equipment and pick up from facilities.

Minimum qualifications (mandatory): Requires high school diploma/GED, and a minimum of six months related experience. Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
