Project Administration Specialist, Facilities Management and Planning, Finance and Administration
Support Assistant Director in management of the budget and fiscal affairs for University space planning, construction and related programs with an annual budget of approximately $200 million. Duties include working closely with project managers, designers and finance staff to develop budgets and cash flow projections, create project accounts within SAP. Confirm funding sources, monitor operational /project costs and expenditures, measure project performance, complete quarterly and fiscal yearend analysis and confirmations on project status. The Project Administration Specialist is an integral role in providing management with project status reports and recommendations to improve fiscal operations, processes and systems for capital planning, special maintenance, and Facilities Management & Planning. Additionally, the individual will provide administrative support to SPACE (Space Planning and Capital Expenditures) Sub-Committee and/or the BUMC Operations Group that is responsible for receiving, reviewing and approving all renovations to academic and administrative facilities university-wide. Individual collects project submissions, assists in evaluation of each project, sets up meetings and prepares agendas to discuss and prioritize projects, and prepare meeting notes to capture what was discussed. Will work under the guidance of the Assistant Director to improve project life-cycle delivery to include, but not limited, project creation, approvals, and financial close-out.
B.A./B.S. required. one to three years of experience
