The Graduation & Alumni Senior Officer will Support the Head of Graduation and Alumni in organising BPP University Graduation events, managing Certificate distribution and the development and engagement of the BPP alumni network while managing and supporting the growth of BPP’s online alumni platform.

Key Responsibilities:

Graduation

  • To assist with planning, managing and delivering all Graduation events
  • To assist with ensuring events are delivered smoothly, on time and within budget
  • Assist with managing key stakeholder (including supplier) relationships and handling client queries
  • Assist with organising the production of invitations, tickets, and brochures working closely with BPP Marketing
  • Travel for onsite inspections and project managing events
  • Assist with hands-on management on the day of the event, setting up and dismantling it then clearing the venue
  • Prepare post-event reports (includes data entry and analysis)
  • Certificates
  • Assist with managing the process of distributing hard and soft copy Graduation Certificates to Students
  • Work with stakeholders to help manage data processing and sharing, and certificate printing and distribution
  • Assist with data manipulation
  • Assist with the communication with students regarding Certificate distribution
  • Assist with embedding certificates processes, developing reporting capabilities and handling queries

Alumni

  • Assist with driving membership and engagement on BPP's online alumni platform
  • Assist with alumni support on the platform, by email and social media
  • Perform data prep and analysis
  • Assist with identification of and engagement with significant alumni
  • Assist with the organising alumni events

Other Registry

  • Support other teams in Registry eg events and tasks for Student Registration and Assessments

Candidate Criteria

Essential:

  • Ideally educated to degree-level, however applications from candidates with appropriate and relevant work experience or other equivalent qualifications will also be considered
  • Experience of event management
  • Experience in data management
  • Ability to use MS Word, Outlook, Excel, PowerPoint and excellent general IT skills
  • Excellent writing skills for invitations, presentations, social media and newsletters
  • Excellent verbal communication skills with ability to communicate with students and staff in a helpful, sociable and professional manner
  • Ability and experience of working with senior staff and interacting positively with the general public
  • Ability to work on your own initiative as well as part of a team
  • Excellent organisational and time management skills with the ability to meet deadlines under pressure
  • Ability to prioritise a diverse and demanding workload while remaining calm and maintaining excellent attention to detail
  • Confident individual with a strong team working ethic
  • Willingness on occasion to travel and work outside normal office hours

Desirable:

  • Degree holder
  • An understanding of the higher or further education environment
  • Prior experience of assisting or organising Graduation ceremonies
  • Experience of recruiting and working with alumni volunteers
  • Experience of dealing with external suppliers and managing those relationships
  • Basic knowledge of graphic design software
  • Project management techniques
