Job description

The Dickson Poon School of Law at King’s College London is one of the oldest law schools in England and recognised globally as one of the best law schools in the world. The School has a long-standing reputation for excellence in the laws of England and Wales, European, International and Transnational Law. Our research interests cover all areas of public and private law. These include the philosophy and sociology of law as well as doctrinal, empirical, historical, interdisciplinary and comparative approaches to the study of law. We run a varied events programme with approximately 300 public events each year ranging from public lectures, workshops to multi day events either in person or online.    

We are now seeking to employ a Senior Engagement Officer to provide excellent end to end support for our large events portfolio ranging from small workshops to large weekend conferences. This role is suitable for someone with excellent organisation skills, the ability to priorities and work under pressure. Interpersonal skills and the ability to work with different stakeholder, being able to adapt is equally important.  

All our events are currently online and we expect over time to start running in-person events again. You will need to be comfortable with supporting both.   

This post will be offered on an indefinite contract contract  

This is a full-time post - 100% full time equivalent

Key responsibilities

  • Responsible for the delivery of an engaging events programme both online and in person (start to end). 
  • Responsible for the day-to-day operations of events including scheduling (online and on campus), bookings (travel, catering), liaising with speakers and chairs, room setup and post event activities, risk assessments etc. 
  • Processing of events costs under the supervision of the Events and Engagement Manager including raising POs, invoicing, payments etc. 
  • Working with the Events and Engagement Manager on special events or projects. 
  • First point of contact regarding events and engagement enquiries, internal and external 
  • Working with Centre Directors and other academic colleagues in organising external engagement activities. 
  • Keeping track of events bookings and managing clashes   
  • Managing event booking system 
  • Supporting the Events & Engagement Manager as well as the Communication Team in promoting activities using a variety of communication channels including web, social media 
  • Maintaining and developing distribution and contact lists in line with GDPR regulations 
  • Reporting on events activities, keeping record of sing up and attendance, feedback forms  
  • Monitoring effectiveness of events, planning and suggesting improvements 
  • Exploring innovative ways of engaging with a diverse audience using different methods  
  • Managing the school’s own room bookings e.g Moot Courts 
  • Building good stakeholder relationships and networks internally and externally including King’s Venues, King’s Food, AV  
  • Managing events inbox and mailing lists 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

Skills, knowledge, and experience

Essential criteria 

  • Educated to degree level or equivalent experience 
  • Excellent IT skills, including Office, Windows, databases, internet etc 
  • Excellent communication skills including excellent use of English both in formal documents and writing for the web 
  • Excellent interpersonal skills at all levels 
  • Experience of project planning and implementation preferable with a background in event planning 
  • Knowledge of and skill in composing and managing web content, within a content management system and/or use of HTML 
  • Substantial experience in administration, preferable in an academic environment 
  • Experience in delivering events using different formats (on campus, online) 

Desirable criteria 

  • Experience of planning or working on promotional or marketing campaigns 
  • Financial reporting, budgeting and processing
