Job description
The School of Security Studies is a vibrant, multi-disciplinary community of researchers and teachers on all aspects of conflict, defence and security. Our research has direct and sustained impact on international security debates, policy and practice. We are seeking a committed and supportive individual to join our Professional Services team as Deputy School Research Manager, providing pre- and post-award support for grant applicants and holders, and contributing to the development of the School’s research strategy to help foster a dynamic research culture within the School.
 
Reporting to the School Research Manager, the post-holder will be responsible for managing an active portfolio of internal and external grants, setting these up on the internal systems when they are awarded, monitoring expenditure in line with the eligible cost criteria of different funders, and assisting in the compilation and submission of progress and final reports. You will also support the development, writing and submission of new research funding proposals, including through workshops to provide training and guidance to academics, ensuring that proposals are appropriately costed according to both funder rules and internal policies, and submitted and approved accurately and in good time.
 
Further responsibilities of the role include: organising and playing an active role in the School’s Research Committee (which helps develop the School’s Research Excellence Framework strategy, major research bids, impact, Postgraduate Research issues, and our eight Research Themes); supporting the development and delivery of the School’s annual research conference; recruiting student representatives for each of the Research Themes; providing advice and support for the School’s Research Groups and Centres where needed; and producing a monthly research newsletter to promote current funding opportunities, research-related events and recent successes. You will also line-manage a part-time Grade 5 Research Officer providing additional support in several of these areas.
 
The School of Security Studies has between 150 and 200 full-time academic staff, and several of the world’s leading experts in the academic study of security and defence issues. With an annual submission rate of around 90 research funding bids, the School has an ongoing average research grant portfolio of somewhere between £10 and £15 million. The School comprises the Department of War Studies on the Strand Campus in London, the King’s Institute for Applied Security Studies, and the Defence Studies Department, in Shrivenham, near Swindon. The Deputy School Research Manager role will be based in London, with occasional travel to Shrivenham.

This post will be offered on a full-time, indefinite contract.

Key responsibilities 

  • To provide a pre-award support service for grant submissions from across the School, in conjunction with staff members from the College’s Arts & Sciences Research Office, including costing grant applications in accordance with funder rules and College policies, arranging peer review of draft bids and internal approvals, and ensuring the timely submission of bids.
  • To provide a post-award support service for grant holders from across the School, including ensuring that grant expenditure is in line with funder requirements, assisting with the production of interim and financial reports and overseeing the administration associated with the recruitment of staff to research grants.    
  • To organise and play an active role in the School’s Research Committee, including organising regular meetings, taking minutes, contributing to discussions about the strategic direction of the School’s research efforts and assisting in the organisation of the School’s annual research conference.  
  • To provide advice and support for the School’s Research Groups and Centres where needed 
  • To produce a regular, monthly research newsletter including the latest research funding calls, research-related College policy announcements and the latest grant successes from across the School.    
  • To line manage a part-time Grade 5 Research Officer, and/or other posts as required by the School Research Manager 

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.  

Skills, knowledge and experience 

Essential criteria

  • Educated to degree level, or equivalent experience.
  • Excellent knowledge of the FEC costing methodology as it is applied both to the costing of research grants and their post-award administration.
  • Excellent knowledge of the UK and international research funding landscape, and particularly the opportunities available for social science researchers. 
  • Experience of working in higher education in a research administration role, including the management of large, complex research budgets.
  • Experience of managing multiple projects simultaneously, with competing deadlines, ensuring delivery according to external and internal requirements and within budget.
  • Experience in managing funder relationships.
  • Experience of acting as a secretary to a committee, ideally in a higher education environment.
  • Experience of identifying and promoting research funding opportunities appropriate for a particular academic audience.
  • Good communication and networking skills, including excellent written language skills, negotiation and influencing skills, diplomacy and tact, and ability to build professional networks.
  • Proficient IT Skills (including Word and Excel) and a high level of numeracy.
  • Ability to provide excellent service under pressure, with a high degree of attention to detail, managing time effectively, working flexibly and prioritising workload.
  • Ability to work independently and as part of a team.

Desirable criteria

  • Relevant professional qualification or membership of appropriate professional body.
  • Knowledge of the Worktribe costing software.
  • Knowledge of the Pure research management software.
  • Significant experience of line management/supervision of staff or volunteers
