Job description

The Legal Clinic Coordinator provides high-level office, administrative and project management support as well as executive assistance to the Director of King’s Legal Clinic (‘the Clinic’). They will be expected to provide this support in a varied and demanding environment, and to be flexible in the provision of this support, being able and willing to alternate between the roles of, project manager, administrator and communications officer. A key function will be the management and promotion of King’s Legal Clinic, which will include managing the administration of the office in accordance with  the Clinic’s policies and procedures, supporting students in the organisation of client interviews and management of case files organising, promoting the King’s brand and visual identity of the Clinic and Law School, and liaising with members of the public, the legal profession and voluntary organisations. The role holder must have excellent IT  skills, communication skills and an ability to relate to and work with a diverse range of students, partner organisations and clients. Experience of maintaining a social media presence would be useful. The position is likely to be of particular interest to a well-organised, proactive and dynamic law graduate or graduate with experience of working in a legal environment and/or Higher Education, with  good academic qualifications and an interest in legal practice and access to justice.

Key responsibilities 

  • To be responsible for the general organisation, administration   and management of the King’s Legal Clinic and other pro-bono projects which fall under the direction of the Director and Assistant Directors.
  • To manage Clinic appointments and in particular communication with student participants to ensure regular attendance and application of Clinic policies and procedures
  • To deal with enquiries from members of the public and to maintain and update a referral list of partner organisations
  • To be responsible for the management and maintenance of the digital case management system, this includes data input, training and supporting students and Clinic partners
  • To attend meetings with partner organisations and other legal service providers
  • To oversee day and evening clinics at King’s Legal Clinic and provide support and IT assistance to students, partners and Clinic staff
  • To support the promotion of clinical and other pro-bono activities across the Law School and University and within the local community including attending meetings with or on behalf of the Director and Assistant Directors, the generation of material for a newsletter, and the creation and maintenance of an active social media presence
  • To liaise generally with the Law School’s communications officer to ensure the effective external and internal promotion of the School’s clinical and pro bono activities, via traditional and social media
  • To support the Director  & Assistant Directors in the collation of data for and production of an annual report
  • To be responsible for the planning and management of public events including public lectures, conferences, seminars and open days. This will include:
  • Liaising with the School’s events officer to ensure that the events are organised efficiently
  • Liaising with the School’s communications officer to ensure that the events are promoted effectively
  • To provide a general executive support function to the Director, including diary and correspondence management
  • To prepare such briefing papers, documents, reports, and presentations in support of all of the above
  • In all of the above roles, the role-holder will be expected to work closely with the School’s wider professional services team

Skills, knowledge and experience 

Essential criteria

  • First degree or equivalent, relevant experience
  • Demonstrable knowledge and understanding of the English legal system and professional standards applicable to legal service providers
  • Excellent written and verbal communication skills, including the ability to draft memoranda and reports with a high level of accuracy for diverse audiences
  • Excellent project management, administrative and executive support skills
  • Excellent IT skills including Microsoft Office, Microsoft Teams and Excel
  • Previous employment or experience (including volunteer experience) in a legal advice or information service provider, charity, non-governmental organisation, government department, law firm, chambers, or Higher Education, or in a role that involves frequent contact with members of the public.
  • Experience (including volunteer experience) of management or administration or other support of community projects at local, national or international level.
  • Able to manage own time and workload, to meet deadlines and to balance competing demands on their time
  • The ability to communicate and work with individuals at all levels, within and outside the organisation and from a wide range of backgrounds, including where English is a second language
  • A high level of tact and discretion and able to keep information confidential
  • The ability to work collaboratively in a team
  • Willingness to be flexible and take on wide variety of tasks

Desirable criteria

  • Practical experience of marketing, media and press liaison, including managing queries, drafting of press releases, or maintaining an active social media presence.
  • Experience (including volunteer experience) of organising and managing or other involvement in public events such as public lectures and panels, community meetings, information and open days and student forums.
  • Law Degree or Degree and demonstrable interest in/ experience of the provision of legal services

Further information 

The selection will consist of a written test and a panel interview. This role is based in the King’s Legal Clinic and will require regular attendance on campus. Some remote working might be possible by prior agreement with the Centre Director.
