Summary of Position and Key Responsibilities

Under the overall guidance and direct supervision of the Administrative Manager, the Administrative Officer/Receptionist provides travel services ensuring high quality and accuracy of work. The Administrative Officer/Receptionist works in close collaboration with staff and visitors to the UCA and ensures consistent service delivery.

Main Duties and Responsibilities

  • Assist in processing visa forms and obtaining visas from foreign embassies and the Ministry of Foreign Affairs of Kyrgyzstan.
  • Provide police and other related registrations of the international staff and visitors.
  • Assisting and advising colleagues on travel information and helping them on selecting the best travel plan and schedule according to their needs.
  • Making arrangements for accommodation, transportation and reserving tickets for the travelers.
  • Collecting payments and other transactions from the customers and maintaining the records pertaining to their travelling.
  • Making financial payments and reports for the travel expenses.
  • Screens and directs telephone calls.
  • Receives and prepares for sending the office mail (postage & courier), faxes etc.
  • Files correspondence, including Incoming and Outgoing correspondence, inserts data and maintains records as instructed by senior staff members, ensuring that files and records are maintained in good order.
  • Replace Admin staff when if and when needed.
  • Other tasks relevant to the core responsibilities and duties of this position, as assigned by the supervisor.

Required Qualifications and Experience

  • At least a bachelor’s or an equivalent degree in business administration or tourism related subject is imperative.
  • 2-3 years of working knowledge and experience in the same domain.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment, set priorities, and work independently and in a team environment.
  • Professional oral and written communication skills.
  • Ability to identify and resolve problems in a timely manner, strong attention to detail.
  • Good knowledge of travel operations.
  • Fluency to speak English, Russian, and Kyrgyz.
  • Proven ability to write clear reports.
