Job Description Summary

The Center for Research on Reproduction and Women’s Health (CRRWH) is looking for a motivated Grants Manager B with strong pre and post-award experience to join our CRRWH grants management team. The Grants Manager B will independently manage pre-award and post-award activities for a large, diverse, and complex research portfolio including clinical trials. Strong organizational, problem-solving and communication skills are essential, as is the ability to function and adapt within a fast pace setting. The ideal candidate will have a strong work ethic and embody a “can-do,” upbeat attitude with the willingness to roll up their sleeves, pitch-in as needed, and operate at many levels. They must be able to prioritize competing interests, meet deadlines, and work well both independently and in teams.

This position is contingent upon funding.

Job Description

The Grants Manager B will independently manage pre-award and post-award activities for a large, diverse, and complex research portfolio including clinical trials.

Pre-Award Duties and Responsibilities:

  • Assist faculty in preparing and assembling grant proposals/contracts in compliance with sponsor, University, and federal guidelines and deadlines.
  • Interact with other departments and offices to facilitate the development, submission, and administration of grant proposals. This includes Office of Research Support Services (ORSS), Office Research Services (ORS) and the Office of Clinical Research (OCR)
  • Manage proposal budget development. Work closely with PIs and their teams to create accurate budgets.
  • Keep abreast of new/updated agency as well as University and School of Medicine policies, procedures, deadlines and time frames of new initiatives
  • Conduct financial feasibility assessments for clinical trials and other capitated awards
  • Attend all necessary research administration training offered by Penn as well as read online/published materials (i.e. NCURA newsletter, NIH online updates)

Post-Award Duties and Responsibilities:

  • Account set up
  • Maintain faculty and staff salary grids for portfolio
  • Produce monthly financial reports for PI review and approval including analysis with projections and trends
  • Monitor and review of all sponsored projects expenditures. Work closely with PI and study project managers to ensure accuracy.
  • Oversees all communication and coordination with subcontractors and the sponsor.
  • Review effort reports.
  • Monitor and enforce compliance with sponsor guidelines and meet with Principal Investigators to discuss and advise on any financial issues related to their portfolio.
  • Assist faculty with financial reporting and progress report submissions
  • Responsible for account closeouts. Work closely with ORS
  • Participate in decision-making related to potential hires, salary increases and terminations
  • Assign and oversee work activities to program coordinators
  • Participate in specific projects, including the annual PSOM budget submission

Qualifications

  • Bachelor's Degree with 5-7 years of related experience or equivalent combination of education and experience is required
  • Experience in University research and financial systems, including Business Objects/Data Warehouse, PennERA, Workday, Payroll Reallocation, BEN Financials strongly preferred
  • Experience with administering highly complex grants, contracts, and sponsored agreements strongly preferred
  • Proficiency in MS Office Word and Excel required, with additional computer skills a plus
  • Must be detailed oriented, flexible and possess ability to prioritize
  • Strong interpersonal and organizational skills desired
  • Supervisory experience preferred
  • Ability to maintain confidentiality with respect to highly sensitive data required
  • Experience in research administration, grants and contract administration/management or related field, in a university setting, preferred.
  • Proficiency in post award sponsor systems, data management, document preparation and management
  • Ability to communicate in accurate, clear and timely verbal and written communications.

Ability to serve as a subject matter expert for information and guidance.
