Job Purpose
The purpose of this role is to support the Head of Programme Design with the administration and operational running of Apprenticeship School programmes. This will include carrying out relevant administrative tasks to support the end-to-end delivery of programmes including onboarding, course setup, on programme delivery, feedback and reporting. The role will also work with the Head of Programme Design and Programme Leaders to produce core programme documentation and to coordinate the scheduling of teaching and assessment resources.
Key Responsibilities:
Programme Coordination
- Online Classroom Live setup and maintenance (including coordination of post-session recording upload to virtual learning environment)
- Virtual Learning Environment maintenance including uploading of learning assets, student groupings and updating of text/materials
- Creation of core programme documentation including learning plans, job role analysis documents and fact sheets
- Management of student records including creation and maintenance of student files
- Creation, maintenance and coordination of attendance registers
- Creation of absentee reporting
- Creation of programme progress reporting
- Assistance at programme inductions including coordination of enrolment paperwork
Performance Metrics
- Programme Feedback
- Programme Success Rates
- Peer Feedback
Operational Support
- Coordination of course setup process for programmes
- Liaison with course setup team to create programme course instances ahead of system bookings
- Scheduling of programme teaching and assessment dates as per student learning plan
- Updating and distribution of student pipeline reports and revenue reports
- Updating and distribution of Skills Development Coach capacity and caseload reports
- Scheduling of tutor allocation to fulfill class/teaching schedules

Candidate Criteria
- Excellent organisational and time management skills
- Ability to effectively manage client and internal stakeholder relationships, promptly responding to queries, ensuring expectations are managed
- Ability to create and maintain accurate/accessible and organised documentation
- Ability to communicate performance by producing all necessary reports in an effective and timely manner
- Excellent attention to detail when producing programme documentation and data driven reports
- Ability to use email, internet applications, MS Windows operating system, including Excel and tracking tools to support this role
- Ability to apply numerical skills to analyse data, interpretation of facts and figures presented in the form of statistical tables and diagrams, thinking critically and checking for errors or variance from targets
- Must be comfortable working within defined Key Performance Indicators and Service Levels
- Proactive, highly motivated and adaptable to change
- MS Windows including word, excel and powerpoint
- Experience producing and checking business documentation
- Experience of operational coordination within an academic environment (desired)
- Experience of programme administration within an academic environment (desired)
- Degree-qualification (desired)
- Advanced Word and Excel skills (desired)
