Position Focus:

Reporting to the Operations Manager, this position will be responsible to lead the processing and financial management for the Section of Infectious Diseases. He/she is expected to develop and maintain knowledge of University finance and budgeting processes and applicable Federal, state and university policies and procedures. He/she will also manage the activities of a designated portfolio to ensure effective budget control and financial management.

Essential Duties

The Portfolio Associate will be responsible for assisting in the management of the grant and contract application and post award process. Will provide financial stewardship of a portfolio of grants and contracts for sponsored research and present financial information and recommendations through data analysis and reporting while developing and maintaining budgets. Responsible for providing appropriate guidance on compliance matters during management of portfolio and collaborates with account holders to maintain such compliance. The Portfolio Associate role is a 12 – 18 month program that focuses on accelerating the development of Grant Accountants while creating a pipeline of high-performing talent. The Portfolio Associate will span across various financial components while combining specialized training, unique job assignments and interactive experiences to equip you with exceptional technical, financial and business skills. Will participate in specialized training provided by Office of Research Administration, Grant & Contract Administration and Financial Administration, YSM Finance, and other University compliance offices. Financial Reporting & Analysis: Identifies trends and variances through the development of reports such as forecast and trend analyses. Analyzes budgets to ensure appropriate charging of expenses and integration of data, analyze data and develop complex analytical reports for principal investigators including trend analysis, forecast future financial scenarios, develop long range projections, and variance analyses. Budget Development: Develops proposals and budgets for grant and contract submissions; coordinate with partnering institutions. Help to ensure compliance with sponsor regulations and University policies and procedures. Compliance and Risk Management: Reviews, interprets and effectively applies sponsor policies on a variety of topics including cost allowability, budget management and other award management activities to ensure compliance with sponsoring agency requirements and University policies and procedures. Planning, organizing and prioritizing actions to ensure compliance across multiple awards and investigators’ portfolios. Effective Finance Partner: Interacts with faculty and internal and external contacts, such as the School of Medicine, Grant & Contract Administration and Grant & Contract Financial Administration, and granting agencies by helping manage the internal pre award proposal process and the management of sponsored funding. May perform other duties as assigned.

Required Education and Experience

Bachelor’s degree required with no experience necessary.

Excellent oral and written communication skills. Ability to cultivate and maintain strong working partnerships and communicate with faculty and staff.

Demonstrated understanding of continual process improvement and data-driven process monitoring and decision-making.

Excellent attendance. Ability to work independently and be self-motivated. Strong attention to accuracy and clear understanding of confidentiality is essential. Exhibits and maintains a positive attitude and works well as part of a team.

Superior computer skills with specific knowledge and ability with Microsoft Word, PowerPoint, Excel and Outlook or other similar software.
