The Access Services department at Stanford University Libraries values high-quality, just-in-time customer service to meet the academic and research needs of students, faculty, staff, affiliated scholars, and visitors of Stanford University. Our department includes several key service teams for Stanford Libraries, including: entry desk services, circulation, library privileges, interlibrary services, and stacks at Green Library and collection services at Stanford Auxiliary Library 1&2.

About This Position:

We seek a dependable and focused individual to fill the role of Entrance & Exit Monitor (Portal Monitor) who will staff an entrance desk at Stanford’s Green Library. Green is the largest library on campus with the most traffic and longest hours. In this role, the staff member will provide basic library and university information to users who enter and ensure that entry/exit protocols are followed. For example, ID requirements for entry are strict (food or drink may not be carried inside the library) and library materials must be properly checked out before exit.  The staff member will communicate the policies and procedures with library users and perform basic transactions. This role will interact with many library users over the course of the year so we depend on this person to be fully engaged, observant of operations and a great communicator with library visitors and staff.

The Entrance & Exit Monitor will develop knowledge of Stanford University libraries to direct users appropriately.   Workflow at this service point varies depending on the time of day and academic calendar.  Periods of high traffic may require the staff member to prioritize demands or assist at a different entrance.  The staff member will provide notice to the supervisor of any security concerns, and report on emergencies and incidents according to established department procedures.

Work Schedule:

Winter Quarter schedule is currently 23 hours/week:

  • Sunday 12pm-5:24pm (if elects to waive unpaid meal period = 5:24 total hours)
  • Monday 1pm-5:24pm (no meal period = 4:24 total hours)
  • Tuesday 1pm-5:24pm (no meal period = 4:24 total hours)
  • Wednesday 1pm-5:24pm (no meal period = 4:24 total hours)
  • Thursday 1pm-5:24pm (no meal period = 4:24 total hours)

A shortened unpaid lunch period is optional by employee request. Hours vary according to Stanford’s Academic Calendar and Green Library’s operational need. Intersession (between quarters) and summer schedule are to be determined.

Core Duties:

Within the guidelines of established policies and procedures, performs the following duties:

  • Monitor entrance and exit access to the library: greet patrons who are entering; thank patrons who are exiting.
  • Check identification for all registering visitors and complete registration process.
  • Monitor the entry control system and refer system/card failures to circulation desk staff or the supervisor on duty.
  • Visually inspect incoming patrons’ personal belongings to prevent entry of banned materials. Banned materials can include: food, drink (other than water in closed containers), skateboards, scooters, bicycles, and other transportation devices.
  • Perform baggage checks for all exiting individuals and visually inspect library materials to ensure that they are properly charged out before exit. Refer patrons to circulation desk as needed.
  • Report potential property loss, building access violations, suspicious activity and unauthorized photography per established procedures. May call campus security or emergency services if needed and write incident summary reports.
  • Provide general directional assistance relating to the library and campus.
  • Stay updated on policies and procedures by reviewing documentation, attending meetings, and reading email notifications, guides, and blogs.
  • Record entrance statistics and gate counts. Logs shift activity.
  • Keep workspace and entrance clean and organized.

Minimum Education and Experience Required:

  • High School Diploma, G.E.D., or Equivalent.

Minimum Knowledge, Skills and Abilities:

  • English language fluency. Demonstrated strong communication skills (both verbal and written).
  • Demonstrated excellent customer service; ability to be assertive, initiate patron interaction and articulate information in a clear and concise manner.
  • Demonstrated professionalism, diplomacy, discretion, tact and good judgment, to work effectively with a diverse team and user group, and handle confidential information.
  • Demonstrated time management and organizational skills to appropriately prioritize tasks.
  • Knowledge and experience with the Windows Operating System and web-based applications, including email and calendar applications.
  • Ability to learn and successfully use Stanford-specific computer applications, perform data entry, word processing and web navigation.

Physical Requirements:

  • Constantly stand/walk, twist/bend/stoop/squat; perform desk-based computer tasks. 
  • Frequently use a telephone/radio, perform seated work.
  • Occasionally lift/carry/push/pull objects that weigh up to ten pounds.
  • Visual acuity adequate to perform job duties, including reading information from printed sources, computer screens and to clearly observe patron behavior at up to 30 feet.
  • May be exposed to fluctuating temperatures.
  • May be exposed to allergens.
