Position Focus:

Under the direction of the Operations Manager in the Departments of Psychology and Cognitive Science and FAS Neuroscience Programs, the individual will provide financial support for a large, busy, service-oriented academic department. Duties include, but are not limited to: Greet visitors, answer and screens telephone calls, serves as the main contact for information to faculty, researchers, and staff on financial policies and procedures relevant to department activities; provides faculty support; acts as key contact and preparer of reimbursements and purchases for the department, submits documents required to set up vendors and consultants, accepts and logs in package deliveries (e.g., FedEx, UPS, USPS), orders supplies and maintains departmental stock room, maintains files, performs miscellaneous duties related to work (scanning, photocopying, filing, etc.).

Essential Duties

1. Analyzes and reconciles financial statements. Prepares standardized and specialized financial reports. Researches, identifies, and corrects errors through accounting transfers. 2. Serves as a source of information to staff, faculty, students and external contacts on financial policies and procedures and departmental activity. Establishes and maintains financial records and files ensuring accuracy and completeness. Monitors and may approve account expenditures. 3. May oversee and instruct support staff. May requisition supplies and equipment. May record and post data. Performs clerical functions incidental to financial activities.

Required Education and Experience

Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Excellent communication skills, both verbal and written. Highly-organized and acute attention to detail.

Required Skill/Ability 2:

Willingness and ability to learn how to prepare expense reports, make purchases, and invoice payments using Workday, SciQuest and other Yale administrative programs.

Required Skill/Ability 3:

Ability to work independently and with a team of 10 co-workers. Excellent interpersonal skills.

Required Skill/Ability 4:

Strong computer skills and proven ability to use Microsoft Office (e.g. Excel, Word, Outlook). Proficient with email and scheduling.

Required Skill/Ability 5:

Proven dependability and ability to work with occasional conflicting demands, time pressures, and deadlines with good judgment. Punctual with demonstrated excellent attendance record and reliability.

Preferred Education, Experience and Skills:

Prior work experience in a busy office environment. Prior experience providing support in a financial capacity. Familiarity with Yale's financial processes and systems. Working knowledge of University's organization and academic, administrative, financial policies, and guidelines.
