Position Focus:

Jointly reporting to the Provost and the Associate Vice President for Academic Business Operations, the Senior Director will serve as the key financial advisor to the Provost, helping to allocate the financial resources of the university to the highest academic priorities. The incumbent will model those resources and help manage existing commitments and future investments. The Senior Director will work in close partnership with central finance (CFO and budget office), as well as serve as a resource and advisor to school leaders and Vice Provosts in developing their financial plans. Direct and oversee the financial and administrative operations for the Office of the Provost, ensuring sound and efficient internal controls and the deployment of good financial business practices.

Essential Duties

1. Assist the Provost to decide on how to deal with University-wide flexible funding sources, including the Science Development Fund, Provost Development Fund, Provost’s reserves, etc. Consult on year-end decision-making around how to deal with sweeps and balances including creation of University Funds Functioning as Endowments (UFFEs), etc. 2. Advise the Provost on a weekly basis on setting up gifts that come in without restrictions, requiring an institutional perspective as well as a command over the impact of gift restrictions. Navigate between the Provost and the Chief Financial Officer’s office directly, coordinating with the Budget Office to manage the impact on overall funding. 3. Manage the Science Development Fund, which is unique because it requires tracking commitments made as well as expenditures across units that require those commitments. Since the SDF is a critical input into the faculty recruitment process, the incumbent plays the leading budgetary role in the STEM Steering Group, comprised of Deans from across the science units. This group decides on faculty searches and offers that can be made on an ongoing basis through the recruiting season, so the incumbent must enable the Provost to make the appropriate tradeoffs in a timely basis to support the recruitment and retention process. 4. Roll up the budgets for a large collection of small units in Other Academic Services. In this regard the incumbent must be able to lead others through influence while establishing processes to gather, validate and synthesize input before university deadlines (e.g., budgets, Q2 forecasts). The incumbent must also provide guidance on the Chart of Accounts for these units to ensure they can be reported on properly. 5. Support Vice Provosts in approval and management of extra compensation requests for Yale faculty. 6. Set up new academic units in their “start-up” phase. The incumbent will transition these units to other administrative homes after their launch, but may need to stay involved for extended transition periods, and often will need to manage complex funding or operational activities. 7. Oversee administrative functions for the Provost’s office. 8. Direct the development and implementation of administrative and financial processes and procedures that ensure efficient processing of financial transactions and compliance with applicable University internal control measures, particularly those related to sponsored agreements, procurement and conflict of interest reporting. Coordinate timely and accurate information exchange between administrators and the Provost, Vice Provosts and AVP of Academic Business Operations. 9. In collaboration with senior leadership, define, develop and implement financial and administrative strategies which integrate programmatic goals, growth and funding projections while optimizing use of facilities, human resources, information technology and other administrative needs. 10. Serve as expert financial and administrative resource to departments and units. With department administrators, identify and prioritize financial business initiatives and assist administrators in conducting complex strategic models to support sound decision making. Provide leadership for the development and implementation of service improvement initiatives, risk reduction planning and long-range budget and staff deployment planning. 11. Monitor and ensure that departments and units comply with relevant University and school policies and procedures and external regulations. Take a proactive approach to identify internal control issues as they arise, address them in appropriate ways and escalate, as necessary. 12. Other duties as assigned.

Required Education and Experience

1.    Minimum of a bachelor's degree and ten years progressively responsible experience 5 of which are in a leadership role; or equivalent combination of education and experience. 2.    Demonstrated fiscal responsibility and comprehensive knowledge of accounting, financial reporting and analysis. 3.    Demonstrated experience with complex strategic planning and resource allocation, driving for results and successful outcomes; demonstrated superior negotiation skills. 4.    Demonstrated experience in managing relationships, building coalitions and influencing outcomes. 5.    Demonstrated creativity in problem-solving and effectiveness in a complex organization. 6.    Demonstrated success in developing people and organizations. 7.    Demonstrated ability to communicate effectively with peers, leadership and subordinates.

Required Skill/Ability 1:

Highly-developed financial and analytical abilities, including demonstrated experience in financial analysis, planning, budgeting, accounting, reporting, and compliance.

Required Skill/Ability 2:

Familiarity with restricted funding sources including gifts and sponsored research funding.

Required Skill/Ability 3:

Ability to work in a confidential, consultative, complex environment and manage multiple projects and deadlines in a setting of competing priorities.

Required Skill/Ability 4:

Proven supervisory, managerial, and leadership skills, with focus on both developing professional staff and team building.

Required Skill/Ability 5:

Excellent oral and written communication skills. Customer service orientation.

Preferred Education, Experience and Skills:

MBA strongly preferred. Experience working in an academic or higher education institution.
