VPUE is seeking an Academic and Educational Support Administrator to provide primary review, analysis, and response for matters related to academic progress review and requests for exceptions to academic policies. You will also be responsible for identifying, clarifying, and resolving complex technological system issues and developing solutions, with substantial impact that may span multiple areas. You will identify and collect large data sets, conduct initial analyses, develop, implement, and manage technological support systems for these processes. In this key position, you will stay informed about, and regularly apprise Academic Advising of university policy and system changes. The position is a primary liaison to the Office of the University Registrar and the Student Services Center. You will also interact regularly with other university administrative and service offices, academic departments/programs, faculty, academic advisors, and undergraduate students.

Your responsibilities will include:

  • Propose, develop and implement improvements to new and existing systems, e.g. requests for exceptions and academic progress review, in order to enhance the quality of the undergraduate academic experience.
  • Design, implement and manage all technological systems and practices of academic progress review, e.g. data and document preparation, student notifications, etc.
  • Autonomously investigate systems and technology issues related to the work of the Academic Advising office with faculty, academic departments, Stanford professional schools, and the Registrar’s Office.
  • Analyze and document user needs, review existing and new office policies, technological processes, procedures, and organizational methods as they relate to improvements and efficiencies in the work of Academic Advising. 
  • Create reports in PeopleSoft under special authority and combine student information for request for exception packets routed to the Petition Review Board for high-level review.
  • Extract, perform analysis, and build foundational reports with data from PeopleSoft, Academic Advising’s advisor portal, and other Stanford systems to prepare quarterly data analysis and annual written summary of trends and issues pertaining to academic progress review.
  • Assist in the design and implementation of data processes that support proactive advising interventions, thereby improving the student experience, e.g. early detection processes.
  • Design, manage, and train others on, processes that support the collection and analysis of data from PeopleSoft and Academic Advising’s advisor portal to shape policy development and advising across the student life cycle, with an emphasis on students who intersect with Stanford’s academic policies and academic progress review process.
  • Gather and analyze data about specific student populations, student requests for exception to academic policy, and academic progress review; including identifying trends, conducting needs analyses for advising or processes, and producing written evaluation. Emphasis will be on special populations (e.g., transfer students, academic status, students on or returning from an absence, coterminal students, off-campus students).
  • Independently determine the best ways to present data in reports intended for faculty and Academic Advising/VPUE senior staff.  Assist in the presentation of these reports as needed.
  • Serve as Data and Research Liaison for Academic Advising.
  • Serve as an Academic Advising liaison to university resource offices (e.g., Overseas Programs, community center(s), academic departments, etc.) to promote and enhance the understanding of academic advising, advising programs, and advising services.
  •  Answer complex questions about academic procedures and policies, particularly as they relate to the needs of specialized populations (e.g. students with academic difficulties or others).
  •  Provide counsel and direction to students at odds with university academic policies or deadlines, and with regard to satisfactory academic progress.
  • May direct staff to perform various tasks and assignments. May also supervise staff.
