Job Description

The Special Operations Unit is an innovative group consisting of specialized Grants Managers that are utilized, on an as needed basis, to provide support throughout the various Divisions within the Department of Medicine (DOM). Specialized support includes multi-divisional project management (including training grants, program projects, clinical trials, and projects with multiple subcontracts), onboarding support and training for new employees, and pre-award support in budget and proposal development.

In this role, the Senior Grants Manager will serve as Co-Lead on a Departmental Development Task Force to enhance training and educational procedures focused on effective grants management. The Sr. Grants Manager will manage pre and post-award activities for a diverse sponsor portfolio within the Special Operations Unit in the Department of Medicine as well as oversee a designated cohort of administrative staff including junior grants managers, grants coordinators, and financial coordinators.

The Grants Manager will manage post award activities, including account setup, and monitor/ review all sponsored projects expenditures including fund projections. They will monitor and enforce compliance with sponsor guidelines and OMB Uniform Guidance, meet with principal investigators to discuss and advise them on financial issues related to their portfolios, maintain salary grids and work with payroll coordinator to ensure faculty and staff are paid correctly, and assist in the preparation of effort reports. They will also participate in specific projects, including the annual budget submission and the development and implementation of standard operating procedures throughout DOM. Reports to the senior administrator within department and has a dotted reporting line to the PSOM Office of Research Support Services.

The candidate will possess strong organizational, leadership, data management and documentation skills, is attentive to detail and strives for accurate results, has the ability to work both independently and cooperatively, and demonstrates excellent interpersonal skills. He/She will also effectively manage their own time while overseeing and prioritizing tasks for junior colleagues and be able to translate intricate processes to assist the overall grants management education of the Department.

Qualifications:

Grants Manager A:

Bachelor's degree and 3 years to 5 years of experience or an equivalent combination of education and experience required. Experience with NIH and other federal granting agencies is required. Proficiency with Microsoft Excel, Adobe, and Business Objects. Excellent critical thinking, analytical, verbal and written communication is required. Working knowledge of Uniform Guidance is required. Ability to apply solid organizational and time management skills to a deadline drive, multiple priority work environment is required. Familiarity with UPENN sponsored research policies and related financial system is preferred.

Grants Manager B:

Same as Grants Manager A with 5 to 7 years of grant and contract administration experience or an equivalent combination of education and experience. Master's degree preferred.

Both positions:
