The School of Engineering, Office of Student Affairs (OSA), seeks an Office and Programs Coordinator to provide administrative and curricular support to deans, students, and staff. Reporting to the Office and Programs Administrator, this position is critical in supporting our mission: to seek solutions to important global problems and educate leaders who will make the world a better place. You will provide support to an array number of programs and perform a broad range of simultaneous duties. Within the Office of Student Affairs, you will support the day-to-day work of the Equity and Inclusion Initiatives (EII) as well as Student Services. As a collaborator with a variety of teams and departments, you will have a keen understanding of how the School of Engineering functions and the opportunity for career progression. Your responsibilities include:

  • Representing the Office of Student Affairs by being the first point of contact to respond to inquiries, determining and taking appropriate action as required. 
  • Composing, formatting, preparing, and distributing routine communications and materials. 
  • Perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services/catering, administer logistics, and managing event within budget.
  • Displaying your organizational skills by coordinating logistics and materials, and interfacing with vendors associated with conferences and various events. 
  • Overseeing the production and distribution of materials, administering logistics, and managing events within budget.
  • Maintaining office supplies and equipment, obtaining vendor quotations, and coordinating office moves.
  • Provide support for Student Services Administrator in the Office of Student Affairs and handle day to day inquiries regarding graduation, degree conferral, petitions, etc.
  • Interact with School of Engineering academic departments on an ongoing basis
  • Be familiar with Academic Petitions, graduation requirements and help undergraduate students address academic concerns
  • Be familiar with the School of Engineering academic programs and subplans, as well as the course offerings and requirements
  • May supervise day-to-day work of student staff and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.
  • Flexibility in completing any other assigned duties.

To be successful in this position, you will bring:

  • A high school diploma and three years of administrative experience, or combination of education and relevant experience.
  • Proficiency in computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and ability to work well with colleagues, clients, and external organizations.
  • An ability to prioritize and multi-task.
  • An ability to routinely and independently exercise sound judgment in making decisions.
