Medical Center Development (MCD) within the Office of Development seeks a well-organized and detail oriented Events Assistant to help support high-quality events such as donor cultivation and stewardship events, building  dedications, alumni events, and specialized events for Stanford Medicine and university leadership.  The ideal candidate will be responsible for but not limited to assisting in team expense management and reconciliation, coordinating and organizing event guests lists, creating and reviewing mailing lists for accuracy, including post event data list management, registration and attendee tracking, presentation and collateral support, and team calendaring.

Your responsibilities include*:

  • Processing and maintaining routine team financial transactions including bill paying, payments processing, and tracking event expenses on a timely basis, which may include researching and resolving discrepancies.
  • Providing logistical support, including follow-through on vendors services , identifying and coordinating event parking and signage needs, providing on-site support, packing/unpacking and inventory, and management of event supplies.
  • Drafting, producing, and coordinating distribution of communication materials in print and/or online, including production of invitations , signage, event newsletter and calendars; including editing and fact checking to ensure accuracy of contents.
  • Assisting with coordination of event registrations and follow up, including attendee database lists, managing and tracking of RSVPs, including pre- and post-event communications.
  • Performing general office duties associated with scheduling and organizing department meetings and events.
  • Acting on behalf of the events team in regards to establishing processes and priorities, and identifying and resolving problems that are administrative in nature.
  • Possibility of overseeing temporary/casual workers to assist with clerical tasks as needed.

To be successful in this position, you will bring:

  • Associate degree and minimum 2 years of relevant experience or combination of education and relevant experience
  • Ability to work both independently and collaboratively as part of a team with colleagues, faculty, campus leadership, volunteers and donors, and with a high level of professionalism
  • Proven ability to work in a fast-paced, complex, multi-faceted environment while setting objectives and effectively achieving stated goals
  • Excellent interpersonal, written and oral communication skills with high level of sensitivity and accuracy
  • Demonstrated ability to work under pressure while juggling multiple deadlines and changes in priorities; proactive and adept at problem solving, and troubleshooting emerging problems
  • Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills
  • Ability to maintain confidentiality, sensitive data and private information on behalf of the university
  • Comprehensive knowledge of Microsoft Office suite including strong knowledge of Excel and other online document editors such as Google Docs and Forms.
  • Knowledge of Adobe Creative Suite, including InDesign is desirable
  • Knowledge of PostGrads/CARD, Oracle finance and other Stanford based systems is a plus.
  • Ability to obtain and maintain a California Non-commercial Class license and drive day or night.
  • PHYSICAL REQUIREMENTS*:
  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
