Position Focus:

Reporting to the YCCI Deputy Director and COO, the incumbent will research, cultivate, promote, and maintain relationships within the community. This position will assist the YCCI Deputy Director and COO with the management and participation of already established programs while creating new and creative strategies to increase clinical research awareness. In addition to community efforts, the project manager monitors and enhances all related reporting, triages any reporting issues, reconciles data and compiles the data into trend analysis. The incumbent will also assist with planning of community-based clinical trials events.

The incumbent coordinates and manages center-wide projects from all related program areas as deemed appropriate. This position may support several YCCI project areas including community engagement, clinical research recruitment, regulatory, project feasibility, education, pilot program, and the tracking/evaluation unit.

Essential Duties

  1. Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for exempt and non-exempt staff in one or more functional department of the University.
  2. Manages the administrative support needs for exempt and nonexempt staff and provides recommendations, improvements, solutions and assistance as needed.
  3. Manages and monitors technology needs, conducts inventory, and system requirements for the assigned departments.
  4. Develops and prepares budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance reports for the departments.
  5. Manages the use of facilities in one or more departments including office space, work stations, equipment, and office supplies.
  6. Manages administrative support for activities of one or more departments to ensure timely completion of projects.
  7. Manages and coordinates training sessions for assigned departments when new policies or practices are adopted.
  8. Ensures compliance with University and federal regulations as they apply to the assigned departments.
  9. Identifies, plans, and develops administrative policies for the assigned departments.
  10. Assists in reviewing and implements University and departmental policies as they pertain to the administrative functions of the assigned department.
  11. Assesses and makes recommendations regarding staff development and staffing levels.
  12. Monitors, develops, plans, and executes systematic research on user requirements through such mechanisms as surveys, interviews, focus groups and competitive analysis.
  13. Manages a staff of exempt and non-exempt employees.
  14. May perform other duties as assigned.

Required Education and Experience

Bachelor’s Degree in related field and three years of related experience or an equivalent combination of education and experience.

Required Skill/Ability 1:

Strong knowledge of Good Clinical Practice guidelines and understanding of clinical and translational research principles. Strong knowledge of community-based research and demonstrated ability to support community-based clinical trials education and recruitment.

Required Skill/Ability 2:

Demonstrated ability interpreting federal, state, University and sponsor policies and regulations. Demonstrated ability to report on the status of project deliverables and draft and submit project updates to Yale team and other stakeholders.

Required Skill/Ability 3:

Proven ability to manage several projects concurrently, while balancing competing priorities and deadlines. Extreme flexibility in work focus; ability to switch among several different projects without any adverse effects.

Required Skill/Ability 4:

Superior interpersonal skills to interact effectively and represent the school well with participants, faculty, administrators and external contracts; ability to work with diverse populations. Excellent oral and written communication skills. Very effective listening and feedback abilities.

Required Skill/Ability 5:

Excellent organizational skills. Working knowledge of MS Office.

Preferred Education, Experience and Skills:

Master’s in related field or equivalent combination of education and experience; work experience in the medical/public health research, community health, and/or a community organization. Some combination of Epic and OnCore experience. Demonstrated ability writing grants. Ability to interpret complex clinical trial protocols and federal, state and local guidelines.
