Position Focus:

This position will work with the Senior Associate Registrar on exhibitions for the Registrar’s Office.
 
Essential Duties call for incumbent to:

  • Assist Senior Associate Registrar on exhibitions and traveling exhibitions for the department, including legal documents and paperwork, budgeting, condition checking, organizing and coordinating packing, crating, transportation, couriers, and insurance, and coordinating logistics with lenders and curators.
  • As related to exhibition installations/de-installations/travel, coordinate with the departments of curatorial, exhibitions, collections, education, and conservation.
  • Assist Senior Associate Registrar on creating new workflows in the exhibition module of The Museum System (TMS) and work with IT department to create new reports.
  • Coordinate packing and shipping for works of art.

Essential Duties

  1. Carries out registrarial activities to maintain the collection, incoming and outgoing loans and to ensure the special care, security, and proper handling.
  2. Coordinates with curatorial, conservation, exhibition, and collections departments for the successful completion of handling, packing, shipping & insurance, storage, installations, and exhibitions.
  3. Oversees incoming and out-going long-term loan program related to the permanent collection.
  4. Inventories collections and documentation; edits or amends the museum’s database following guidelines and museum standards.
  5. Responds to collections inquiries by researching the history of ownership and origin of collections.
  6. Manages budget for inventory, packing/unpacking, move and organization of collections, including product research, purchasing, and funds management.
  7. Develops and implements handling and packing strategies to ensure safety and legal standards of collections in transit.
  8. Ensures legal, ethical, and professional standards for the collection by reviewing paperwork, advising staff, and addressing Museum policies and procedures as needed.
  9. Fully or partially supervises a staff of non-exempt employees, students and volunteers.
  10. May perform other duties as assigned.

Required Education and Experience

Bachelor's degree in Art History, Anthropology, Archeology, Museum Studies, or related field and three years of collection management and/or registration experience or the equivalent combination of education and experience.

Required Skill/Ability 1:

Excellent organizational, communication and computer skills including Word, Excel, Access, and relational database management. Ability to supervise employees, and work as a team.

Required Skill/Ability 2:

Detail-oriented in all work preparation and execution; accuracy is essential. Ability to be flexible working with a diverse staff, donors, and lenders, and in a multiple location situation. Ability to work happily in a dynamic and changing environment.

Required Skill/Ability 3:

Ability to work independently and effectively manage multiple projects simultaneously. Ability to be pro-active and initiate positive change.

Required Skill/Ability 4:

Must be able to travel to multiple YUAG work locations.

Preferred Education, Experience and Skills:

Knowledge of TMS is strongly preferred.

Physical Requirements

Ability to sit and stand for long periods of time, and lift objects of 50 lbs.
