Job Description Summary

Reports to Senior Associate Director of Development in the Undergraduate Financial Aid (UGFA) and Penn First Plus Development Office. The Development and Communications Coordinator provides overall support to UGFA Development, with a special emphasis on development communications and stewardship activities, database management of Named Scholarship and Penn First Plus funds, and administrative tasks.

As a member of the UGFA and Penn First Plus Development team, the Coordinator will work with confidential information (bio, giving, financial aid data, etc.), and will work collaboratively as a member of the team and with colleagues across DAR, Undergraduate Programs, SRFS and Provost areas.

Job Description

UGFA and Penn First Plus Development Communications and Stewardship

  • Provide support for UGFA Development communications stewardship activities and special projects, such as, briefings, etc.
  • Coordination, tracking mailing and schedule, and writing of stewardship communications, including donor acknowledgment letters and emails and new donor messaging
  • Coordination of student-related communication activities and events
  • Analysis for the purposes of UGFA Development communications stewardship, including QlikView and Atlas
  • Provide support for all aspects of the bi-annual Scholarship Celebrations
  • Provide support for Foundation requirements related to scholarship reporting and on campus visits
  • Provide support for all aspects of the Named Scholarship annual reporting process
  • Maintain internal UGFA Development library of information electronic files
  • Manage undergraduate financial aid website
  • Manage social fundraising pages for undergraduate named scholarships
  • Writing for internal and external priorities of the program, including website and marketing materials
  • Other duties as assigned by Executive Director of Development and Senior Associate Director of Development

SRFS and Management of Named Scholarships and Penn First Plus Funds

  • Coordination and support for all aspects of UGFA Development’s work in collaboration with SRFS, including management of scholarship assignments, communication with SRFS, and project management support of new scholarship system conversion
  • Manage internal tracking of new Named Scholarships and Penn First Plus funds, and additions to Named Scholarships
  • Database management of Blackbaud, FileMaker, and Atlas systems
  • Coordinate UGFA Development data requests with IR and SRFS
  • Provide counsel and approval on gift agreements
  • Coordinate management of the Scholarship Donor designation in Atlas; compile Schedule IIs into a master file, highlighting new funds added each month; use as basis for managing input to Atlas.

Administrative Support

  • Assisting with leadership volunteer matters in collaboration with Assistant Director of Development as needed
  • Assisting with Undergraduate Program/Provostial initiatives as needed
  • Support general administrative needs of the department
  • Assist with coverage of 3rd floor front desk coverage.
  • Assist with bi-annual Scholarship Celebrations and other events, including outreach to students, staffing events, and provide ad hoc administrative support as needed leading up to and during the event

Other

  • Anticipate needs and situations requiring judgment and initiative
  • Participate in the department’s strategic planning process
  • Complete ongoing feedback requirements

Qualifications

High School diploma required; bachelor’s degree preferred. Five to seven years of relevant experience or equivalent combination of education and experience. Excellent organizational and communication (oral and written) skills. Ability to work effectively and collaboratively with a wide variety of colleagues.   Ability to take initiative and demonstrate good judgment and discretion. Must be highly analytical and be able to prioritize time effectively, manage multiple priorities and meet deadlines.  Competency with computer software is essential including Microsoft Office products (Word, Excel, and PowerPoint specifically) and Wordpress experience a plus. Ability to learn and work with DAR databases. Must have the ability to handle confidential or sensitive information. Ability to staff events effectively and interact with donors, prospects and volunteers. Must be highly collaborative and open to learning from colleagues. Valid driver’s license required.
