Financial Administrative Coordinator

Job Description Summary

Provide financial and administrative support to a newly created Regional Business Office for Penn Wellness. This position will provide support to 5 departments. The position will be responsible for ensuring timely and efficient daily operations including the coordination and processing of transactions related to the department's financial activities including time reporting, purchasing, payables, reimbursements, purchasing cards and journal entries. The position will oversee limited cash transactions. The position will also support overall support for several offices as well as perform other business related administrative tasks to ensure smooth operations.

Principal Responsibilities/Duties

  • Process all transactions related to the department's financial activities including purchasing, payables and reimbursements. Serve as the Concur/TEM travel system default reviewer. Facilitate and track payments to vendors. Respond to requests for information from directors, staff and students.
  • Coordinate purchasing card and related payment activities. Reallocate card charges and work with departments to ensure compliance with University policies.
  • Reconcile accounts. Identify variances and wayward transactions. Resolve discrepancies.
  • Handle cash transactions in accordance with University policies. Serve as petty cash custodian.
  • Provide administrative support to departments as needed. Exercise resource stewardship and communicate policies and procedures to departmental contacts.
  • Maintain appropriate files and financial records.

Position Qualifications

A Bachelor's Degree and 1 year to 2 years of experience or equivalent combination of education and experience is required. This position requires strong customer service and problem solving skills. This position will interact with directors, staff and students and accordingly must be able to communicate effectively and demonstrate a proactive work style with strong follow up skills. This position must be able to work under pressure and show great attention to detail. In addition, the candidate must have effective interpersonal skills while balancing the need to be diplomatic and assertive. The position will balance independent work in a collaborative environment.
