Job Description

  • Work closely with the Program and Client Director to ensure that the client programs are designed to match the requirements of every clients
  • Work collaboratively with Client Relationship Manager and Admin team in Contracting/Agreement for clients and services providers: drafting, HOD’s approval, legal sign-off, to sending & following up with client and other supporting service providers
  • Work effectively with Client Relationship Manager and Admin team to ensure that invoicing, purchase order, payment follow up and other related administrative tasks are completed in a timely and professional manner
  • To facilitate a good communications with clients and participants on pre-course preparations, in class activities to evaluations and other essentials prior programme’s wrapping up
  • Capturing and to secure contact information of all clients and participants with protected encryptions (database management in view of PDPA and GDPR).
  • Manage all IP, copyrights materials, coordinating with faculties and trainers to ensure expectations are met.
  • Coordinate and administer several programme schedules & a self mastery in timeline management for executions according to Operations’ s Standard Operating Protocol (SOP)
  • Support in collating briefing materials: Faculty, Programme Director, Client Directors and Admin related subject matters
  • Preparation of materials and logistic arrangements prior to the program such as faculty's materials, handouts, create and manage own programmes' folders (digital or physical), final course packs, production (external or internal), programme specific site setting up of rooms and/or other designated venues, book internal/external facilities, services providers, offsite visits, final set-up inspection
  • Organizing and coordinate programme’s coaching services, caterings and all related external engagements; speakers, practitioners and offsite visits
  • Coordinate with our Learning Manager in portal set up and uploads for each programme
  • Coordinate with necessary internal departments for AV support, security & IITS as & when required
  • Provide in-class support to participants, client and faculty needs, and ensures all aspects of programmes run smoothly
  • Keeping record of attendance and documentations of certificates
  • Compilations of evaluations and assessments from participants for collection, analysis, review with faculty, directors and client
  • Follow-up with clients on post program delivery, sustaining effective relationship and ensuring that concerns are aired and action plans being put into place to resolve any current issues
  • Reviewing programs and suggesting improvements and enhancements to maintain program relevance for the client and for our service and operational excellence
  • Contribute to the general morale and professionalism of the SMU-ExD team

Qualifications

  • Degree or Diploma with 3 to 5 years of relevant work experiences
  • Proficient in Microsoft Office applications Strong communication (both written and spoken) and interpersonal skills Strong service orientation
  • Resourceful, confident, organized meticulous with a high sense of responsibility
  • Experienced in project management Familiarity with process improvement concepts and practice
  • Ability to work across departments within the institution effectively
  • Ability to work with ambiguity and under time pressure, multi-task and a finisher within short deadlines
  • A highly performing team player

Other Information

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
