ADMINISTRATIVE ASSISTANT II, Mechanical Engineering (MechE), to provide comprehensive support for one professor.  Will greet visitors and guests; assist faculty and teaching assistants with the preparation of course materials; monitor and order supplies and equipment; monitor and reconcile accounting statements; investigate and follow up on purchasing/accounting discrepancies; prepare purchasing and accounting forms; schedule appointments, meetings, and travel arrangements; process travel reimbursements; gather information and submit requests for visiting and postdoctoral appointments; assign offices and keys/card access; assist with orienting new students, staff, and visitors; use web software to input, update, and maintain web content; design PowerPoint presentations from established content; implement or maintain the office filing system; provide telephone coverage; and handle other general office duties as needed. 

Job Requirements

REQUIRED: a high school diploma or its equivalent; a minimum of three years’ secretarial, office, or related experience; excellent organizational, word processing, interpersonal, and communication skills; experience with arranging travel, paying invoices, ordering supplies, reconciling accounts, and arranging expense reimbursements; and proficiency with Microsoft Office, experience updating websites; and willingness to learn new software.  Must be able to prioritize and handle multiple tasks simultaneously, problem solve, interact effectively with people at all levels, and work both independently and as part of a team. Job #18088-5
