The WorkLife Office (WLO), a part of University Human Resources at Stanford University, supports the University’s academic mission through innovative programs and services to assist faculty, staff, postdoctoral fellows, and students in navigating the competing demands of their work, study, personal and family lives. The WorkLife Office is responsible for serving as the university’s author and steward of its dependent care strategy which stands out among Stanford’s higher-education peers as a comprehensive and forward-thinking set of programs and services. 

Position Summary: As the Program Operations Specialist, you will have demonstrated experience providing support to families, coordinating and implementing projects and feedback loops, be data driven, and be highly organized and motivated to support the work of the WorkLife Office. Your responsibilities will include:

  • Support to various projects with a mindset to drive quality while being highly organized and also addressing gaps and challenges along the way.
  • Design tools to support the WorkLife Office team achieve the strategic results desired.
  • Represent the WorkLife Office (WLO) with stakeholders, demonstrating fluency with the WLO programs and issues affecting families on campus.
  • Develop and implement customer feedback loops to continuously refine and improve services.
  • Oversee projects, including developing and tracking timelines and deliverables, develop and monitor budgets, collect and analyze data to assess progress and impact, and recommend course-corrections as needed.
  • Create agreement/contract compliance tools and suggest strategies for their implementation.
  • Create and analyze reports from data spreadsheets that represent and tell the story of the experience of services provided, and make recommendations for areas to improve.
  • Proactively address systems issues with stakeholders, including peers.
  • Actively contribute ideas and best thinking to peers and organizational leadership to achieve strategic goals.
  • Respond and support families seeking the help of the WorkLife Office.

To be successful in this role, you will bring:

  • Preferably a Bachelor’s degree in related field.  Minimum High school diploma and six years of administrative experience, or combination of education and relevant experience.
  • Minimum of 3 years project management experience.
  • First-hand experience addressing the needs of families and driving customer service improvement.
  • Highly competent user of MS Office (Word, Excel, Outlook, PowerPoint).  Able to manipulate and analyze data.
  • Strong work ethic, self-directed, and self-motivated.
  • Excellent written, interpersonal, and oral communication skills.
  • Experience being responsive to, and balancing the needs of multiple stakeholders and creatively improving systems.
  • Ability to constantly perform desk-based computer tasks. Frequently sitting. Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds. Rarely twist/bend/stoop/squat, kneel/crawl.
