The Stanford University, Department of Ophthalmology is seeking an experienced professional to join our administrative team and provide academic affairs and human resources expertise.  The position will supervise two support staff and will be a key contributor to the department administration team, interpreting and ensuring compliance with policies and procedures related to both academic affairs and human resource management.  For academic affairs, the position will work closely with the department Vice Chair of Academic Affairs and will provide advice, guidance, and support across a range of activities, including search authorizations, offer letters, appointments, reappointments and promotions.  For human resource management, the position will work collaboratively with School of Medicine human resources and provide department specific guidance and leadership in talent management, workforce planning, labor relations, and staff professional development.  The successful candidate will possess top-level organizational abilities and possess superb written and oral communication skills.

Duties include:

  • Interpret and ensure compliance with policies and procedures related to both academic affairs and human resource management.
  • Provide expert advice and guidance to department Chair, Faculty, and DFA on full range of faculty affairs-related activities, including search authorizations; offer letters; appointments, reappointments and promotions; sabbaticals and other leaves; resignations and retirements. 
  • Provide operational support and guidance to search/review committees and make recommendations for process improvement.
  • Manage review, promotion, and search processes, including marketing, recruiting, preparing committee reports. Create agenda, prepare and edit documents and forms for faculty review including recommendations.
  • Identify problematic information in letters and advise on how to resolve the problem.  May provide first level approval for appointments and reappointments.
  • Prepare offer letters, as needed, for the chair or dean, which may include gathering and synthesizing information from other offices.
  • Serve as primary point of contact, as needed, in orienting new faculty to the department, school, and university. Troubleshoot issues as they arise.
  • Investigate basic employee relations issues and recommend appropriate resolutions; work in consultation with DFA and HRG to resolve complex issues. 
  • Coach and advise on organizational, employee, and labor relations issues.
  • Participate on organizational design, workforce planning, talent management strategies and related development issues.
  • Develop substantial onboarding process for new faculty recruits utilizing best practices.  Proactively evaluate and incorporate new online onboarding tools and continually assess for effectiveness.
  • Supervision of staff including, human resource, student services focused administrative staff.

DESIRED QUALIFICATIONS:

  • Advance degree preferred
  • A combination of working experience with academic affairs in a university setting and human resources management.

EDUCATION & EXPERIENCE (REQUIRED): 

Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation.
  • Occasionally use a telephone.
  • Rarely lift/carry/push/pull objects that weigh 11-20 pounds.

Occasional evening and weekend hours.
