The University of Bristol has a vacancy for an Operation Coordinator & Contracts Administrator within the Estates Team.  

The Estates Office is responsible to the University for the efficient, effective and compliant provision of all building and engineering services across all University buildings whether owned or leased.  We provide this service across three main areas, the Main Campus, Stoke Bishop and Langford.  

The Estates Office includes Facilities Management Hard Services, which comprises all planned, reactive, compliance, statutory and capital maintenance.  This position is based within the Facilities Management Hard Services section of Estates, which has approximately 120 employees comprising professional staff, secretarial support, supervisory staff and a direct labour force around 80 staff.  Working in the Estates Facilities Management Hard Services Team, with colleagues based at Langford, you will be directly line managed by the Maintenance Manager.

You will be dealing with a wide range of University staff and external organisations & site contractors. Maintaining records using University in-house systems including job control. General administrative duties including minute taking & issuing of meeting agendas, ordering of stock, processing financial payments & recording using in-house computer systems. You will also act as front of house, dealing with Help-desk queries via telephone & email.

The suitable candidate will be required to have a proven numeracy and literacy ability along with good written and oral communication and interpersonal skills. Ideally you will have experience in an administrative role with general office practice and administrative procedures. You will also have a strong level of experience of IT use within a work environment including proficiency in relevant computer software (eg. Microsoft Office applications). Good organisational and time-management skills are essential with the ability to work under pressure and to deadlines independently or working alone under own initiative.
